Job overview

To provide an effective and efficient reception, clerical and administrative service to patients, visitors and nursing staff in order to support the delivery of optimum patient care in one of the three Critical Care units. (Cardiothoracic ICU, General ICU and Neuro ICU).

Main duties of the job

  • To act as the initial point of contact for patients, visitors and callers to the ward ensuring their needs are met promptly and politely.
  • To assist the unit staff in the smooth running of the ward by taking responsibility for the routine administrative aspects of the unit’s organisation.
  • To support the Matron, Consultant Intensivists and their team in the strategic and operational development of the service.
  • To ensure that the appropriate medical records are available for all patients on the unit and that they are kept in a neat and tidy order.
  • To ensure that the Admissions Co-ordinators, Overseas Patients Manager and Private Patients Office are promptly provided with appropriate details of individual patient admissions in accordance with Trust policies relating to eligibility for NHS treatment and private patients.
  • To admit non-elective patients onto the iClip system that are direct admissions from A&E or Outpatients to liaise with the Admission Co-ordinators to prepare new notes and deal with any related problems.
  • To collect and distribute the post.
  • To book transport for patients who are being discharged or transferred from the unit using the patient transport system. Where necessary support the family of patients locating accommodation.
  • To have good keyboard and word processor skills.
  • To support the Matron by locating hospital records when dealing with good news returns or complaints in accordance with Trust and departmental policy, as directed by your line manager.

The shift pattern for the role is - Mondays, Tuesdays & Wednesdays. 7.5 working hours/day, timing can range from 8am-8pm

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
