Due to service developments, we are seeking an experienced ward clerk to join our team.

The surgical ward admits elective patients to The Christie, for surgical procedures.

You will provide a comprehensive clerical service to ensure effective administration and communication systems are in place to support the smooth running of the unit. Working as part of a strong team you should possess excellent communication skills to ensure that all patients and visitors to the department are managed in an effective courteous and professional manner. You should be able to work using your own initiative and as part of a team, with the ability to prioritise your work effectively and meet deadlines.

Main duties of the job

To contribute to an effective service by providing high quality clerical support to the surgical ward.

  • To work closely with the Ward Manager, and nurse co-ordinators, as well as Medical Secretaries, GP surgeries and other MDT across the hospital to ensure that patient admissions are recorded and appropriate documentation is available.
  • To welcome and show compassion and respect to all staff, patients and relatives who attend the unit.
  • To liaise with appropriate line manager and escalate any issues in a timely manner

Detailed job description and main responsibilities

Professional

  • Ensure accurate times recorded on clinical systems in relation to patient admission and treatment.
  • Access the patients eligibility for NHS treatment and inform the appropriate senior member of staff in order for the patient to be interviewed
  • Adhere to all written instructions on the proforma with regard to scheduling and booking of appointments
  • Responsible for the retrieval of outside notes and films and reports as requested by the consultant or ward manager.
  • To welcome patients, relatives and visitors to the ward and its routine
  • To contact patients by phone with regard to any appointments and to annotate on relevant clinical systems.
  • To book patients transport as per protocol and request interpreters
  • File all relevant paperwork into patient case notes appropriately.
  • Collate and disseminate all incoming and outgoing correspondence appropriately.
  • To deal effectively with all telephone calls to the wards, directing them to the appropriate person.
  • Identify patients that are being discharged by the clinical teams and proactively support the team in collecting relevant medications / equipment as needed.
  • Preparation of all paperwork and patient demographics and ensure these are available for admissions
  • Contribute to the training of new members of staff within a given area as required.
  • Ensure relevant documentation, forms and blood request forms are available for use.
  • General reception duties.
  • Safely escort patients to other areas where needed
  • Help to maintain a safe environment and report faults/risks etc to the nurse in charge
  • Liaise with staff member responsible for stores/stationery and ordering and assist in the maintenance of stock levels
  • Undertake general clerical tasks as delegated by the Ward Manager or deputy.

Work with managers and administrative staff to review working practices, identify new improved ways of working, find solutions to problems and improve quality and range of services.

EDUCATIONAL DEVELOPMENT

  • The ward clerk is responsible for their own personal development and maintaining a personal development plan.
  • Annually attend all mandatory study days as per Trust and unit guidance.
  • Partake and engage in any ward based education opportunities / meetings that are available.

PERSONAL

  • Demonstrate a pleasant and approachable manner and help create and promote a good working relationship
  • Show professional and courteous manner when answering the telephone and other enquires
  • Maintain confidentiality with regard to patient information both at work and outside of working hours
  • To be aware of and adhere to all policies including; sickness and absence, confidentiality, uniform and responsibilities under the Health and Safety at work act and be familiar with all risk assessments pertinent to the AAU
  • Report and record all accidents and complaints according to the agreed policy
  • To be aware of limitations and escalate to your team leader / ward manager for any issues that arise
  • To show respect for members of the team and endorse the Medical Wards philosophy of giving mutual support
  • Demonstrates the agreed set of values and accountable for own attitude and behaviour.
