An exciting opportunity has arisen to join the Quality and Governance Team in Thames Valley Forensic Mental Health Service based at Littlemore Mental Health Centre.

This is a full time, permanent post with a requirement to work in the core business hours. The role requires a dynamic, highly motivated and flexible individual with a strong eye for detail, and highly efficient organisational and planning skills with a strong focus on service improvement, quality and development. The candidate must have excellent communication skills, both verbal and written.

Main duties of the job

  • To provide an efficient and effective comprehensive administrative support to the team/service.
  • Provide a polite and efficient reception service to visitors if required.
  • To provide administrative support to the team ensuring that there are effective administrative systems and procedures in operation.
  • To ensure that high standards of data quality are maintained.
  • To make recommendations for improvement to existing administration procedures and processes.
  • To provide administrative support for meetings as requested and to ensure follow up action is completed.
  • To take notes of meetings, to set up meetings, to co-ordinate the diaries of team members and prepare agendas; to ensure that documentation, correspondence and sources of information are maintained to a high standard and readily available for meetings.

Detailed job description and main responsibilities

In this role, you will be responsible for managing a wide range of administrative and clerical tasks for the Quality and Governance Team. You will support the team in tasks including data collection, report writing, taking minutes and maintaining internal databases and assurance records.

Qualitfications

Essential

  • Higher Education qualification (i.e., 'A' Level/NVQ III standard) or equivalent/previous experience in an Administration Assistant role.

Knowledge and Experience

  • Experience of using Office computer programs including Excel, Word and Outlook
  • Proven experience of working in an office environment.

Desirable

  • Working knowledge of email systems, CareNotes and the Patient Browser
