Job summary

We are looking for an individual who is experienced in their current role to join the Preston team as a Senior Screening Officer on a permanent basis. You will provide support to a team of up to 15 Screening Officers but will also work together with all of the Senior Screening officers across Leeds and Preston to deliver the service needs on a daily basis. You will support the operation by ensuring work is processed in a timely manner to achieve the department targets and provide coaching, training and support to you colleagues and team.

This role is based at the Lister House office, Leeds.

Main duties of the job

This role will be responsible for:

  • Providing support and advice to Screening officers on a daily basis
  • Delivering training and updates on SOPs and changes to process
  • Working in conjunction with Team Managers to ensure the delivery of all KPI's
  • Supporting with the allocation of work and tasks
  • Deputising for the Team Manager where required
  • Carry out administration duties
  • Cascade feedback and communication across operational teams

Job responsibilities

JOB PURPOSE

To assist in the efficient running of the Cervical Screening Programmes according to the national Cervical Screening Programme. To maintain the accuracy of clinical and demographic information in a specialised database (The Cervical Screening Management System) including the upload, processing and validating of large batches of clinical results and the resolving of any discrepancies or anomalies in the data. To prepare, quality check and distribute all printed material associated with the Cervical Screening schemes within national and local timescales and audit requirements. To provide advice to customers of the service and the wider screening teams.

DIMENSIONS

The post holder will contribute to the day to day running of the Cervical Screening programmes. This will primarily involve using the screens and analysis of work and answering enquiries from users of the scheme some of which are sensitive and/or complex which involves some analysis of data and facts. The post holder will be required to exercise initiative to a significant level on a daily basis and use own judgement to reach decisions with enquiries. Supervision should not be required in the day to day work.

ROLE SPECIFIC RESPONSIBILITIES

  • Provide technical and practical support to the team.
  • Challenge procedures to identify process improvements and pass on recommendations to Team Leaders.
  • Maintain and develop further knowledge of screening pathway within the team.
  • Deliver coaching to team members and provide effective feedback and training following Quality checking and assurance, analysing trends etc provide advice, training and instruction to groups of staff in cervical screening matters.
  • Deliver workshops and upskill screening officers, following up to ensure training and compliance has happened and is in place.
  • Side by side support for screening officers.
  • Side by side support for team leaders.
  • Assist in project work when required.
  • Work with teams to create a positive work environment for the staff in the team and encourage good co-operation.
  • Supporting and contributing to continuous improvement activities within the business, with a focus on removing waste and improving processes to give a better experience.
  • Maintaining and sustaining knowledge and expertise in role whilst processing work items e.g. end to end process to ensure knowledge is kept current and up to date in relation to the screening pathways and processes.
  • Participate in team meetings.
  • There may be a need to offer support to another site and to travel between the Leeds and Preston Cervical Screening Administration service.
  • Participate and support the work of the team with investigations and improvement from lessons learnt of relevant processes in order to meet the requirements of this service.
  • Provide support with specialist advice to the screening team managers in relation to the findings/outcomes of audits as required.
  • Maintain the strictest level of confidentiality at all times.
  • The Senior Screening officer will be expected to work on their own initiative within appropriate occupational guidelines, referring to the Manager as necessary.
  • Support the delivery of excellence to our customers.
  • Contribute towards the development and upkeep of the SOPs.

Strategic

  • Participate in policy or service development both within the team and the wider environment of the Cervical Screening programme.
  • Support the Managers in providing reports as well as being able to analyse and translate data to improve the service.
  • Participate in the development and service improvements in order to enhance the cervical screening service e.g. participate in updating and the development of SOPs as required.

  • Communicate with colleagues and stakeholders around issues within own area of work, which have a level of complexity such as dealing with business sensitive information, or requiring co-operation from staff outside of department.
  • Provide and receive complex information to use in the application of training, motivational and re-assurance skills when developing team members where there may be barriers to understanding.

  • Resolve day to day problems independently, using own judgment and analysis of the situation to come to a decision where there are a number of options or solutions available.

  • Assist members of staff with project work, co-ordinating and planning this work as well as contributing as and when required.

  • This role will support the contribution, implemention with any changing policy and process that the service is required to make as well as any service improvements undertaken to ensure compliance across the service and wider stakeholders.
  • Participates in the drafting of documents and guidance notes relating to own area of work.
  • Supports the Implementation of policies and protocols for own area of work and propose the changes/improvements to services impacting across the service.
