An opportunity has arisen to join our small and friendly Homecare team at Beckenham Beacon/Denmark Hill Hospital as a Band 4 Senior Homecare Administrator.

Post holder should contain technical administrative skills, strong problem-solving initiative and IT skills to ensure that high standards of governance are maintained and translated into a quality service for patients and hospital staff which safeguards patients whilst offering choice and making the best use of NHS resources.

Main duties of the job

Key responsibilities include managing day-to-day administrative, such as handling prescriptions, processing invoices and resolving invoice queries. The post holder will maintain accurate databases, support EPIC prescribing system queries, monitor operational processes, and assist with complaints, incidents and service development. They will contribute to KPI reporting, service review meetings, audits, and internal team activities. The role also involves liaising with clinical teams, homecare providers, finance departments and patients, ensuring governance standards are met and supporting training of other staff.

Detailed job description and main responsibilities

This role involves managing a wide range of administrative, technical and financial processes to ensure timely and accurate prescription handling, ordering, and invoicing for homecare medicines. The post holder is responsible for processing homecare prescriptions, maintaining electronic and manual records, managing complex and standard invoices, resolving financial discrepancies, and supporting the use of homecare systems such as EPIC and Blueteq. They will regularly communicate with homecare providers, pharmacy staff, clinicians, finance colleagues and patients to resolve issues, escalate concerns, and support smooth service delivery.

A key aspect of the role is ensuring compliance with national Homecare Standards, Trust policies, standard operating procedures, and wider governance requirements. The post holder contributes to service monitoring through the compilation of Key Performance Indicators (KPIs), supporting audits, assisting with complaints and incident management, and participating in provider review meetings. They are also involved in supporting service development activities and identifying opportunities for improving processes, efficiencies and patient experience.

The Homecare Operations Assistant is expected to manage their workload independently, prioritising tasks in line with service needs while maintaining high levels of accuracy, professionalism and attention to detail. The role requires flexibility, strong problem-solving skills, and the ability to work closely with the wider homecare and pharmacy teams. The post holder will also support the induction and training of staff involved in homecare processes.
