Job overview

We are looking for an organised, proactive and people-focused Rota Coordinator to join our friendly General Practice Services team.

This is a brand-new role within the service, providing an exciting opportunity to help shape how rota coordination and workforce deployment are managed across our practices. If you enjoy problem-solving, working with people and making a real difference behind the scenes, we'd love to hear from you.

The role is responsible for the production and day-to-day management of effective staff rotas, supporting both clinical and non-clinical teams to ensure services are safely staffed and able to deliver high-quality care to patients.

This can be a challenging role at times, particularly when responding to short-notice absences and service pressures. However, you will be joining a welcoming and supportive team, with experienced managers who are committed to helping you succeed and develop within the role.

Main duties of the job

You will work closely with operational leaders, clinical teams and administrative colleagues to:

*Produce and maintain accurate staff rotas across the service.

*Coordinate annual leave, study leave, training, appraisals and other planned absences.

*Manage staffing changes and respond to short-notice gaps in rotas.

*Act as the first point of contact for sickness absence reporting and support arrangements for service cover.

*Attend locality planning meetings and service meetings.

*Develop strong relationships with staff across multiple sites.

*Support the smooth running of services through effective workforce coordination and communication.

  • NVQ 3 in Business Administration or demonstrable experience to same level
  • GCSE Maths and English pass or equivalent
  • Extensive knowledge in all Microsoft packages
  • In-depth working knowledge of Electronic Roster Systems. Preferably Optima/Allocate

  • Previous supervisory experience
