The post holder will support the operational end-to-end service delivery of a timely, effective and responsive service to the public and the Trust. This will include administrative support, facilitation, and coordination of recruitment and selection activities.
They will work in consultation with the Head of Recruitment and client groups to ensure organisational staff resourcing plans are achieved in accordance with nationally recognised and benchmarked standards and departmental KPIs.
Main duties of the job
- To act as the first point of contact for general recruitment enquires from staff and managers within the Trust, providing general advice and support on recruitment procedures and process
- To manage all stages of the recruitment process from approved vacancy to appointee start date.
- To assist with the production and analysis of reports on recruitment activity.

Key Resulting Areas and Performance
Recruitment and Selection
- Use the applicant management systems (TRAC, NHS Jobs, and ESR) to manage recruitment episodes end to end. Undertake daily housekeeping activities, liaise with assigned Recruitment Administrator(s).
- Liaise with managers to advise on the recruitment timetable, processes, and advertising (including the use of publications/external agencies where appropriate). Ensure compliance with Trust standards, adapting process to enable the manager to successfully recruit to each vacancy.
- Manage all email, telephone and face to face enquiries promptly and efficiently, providing effective advice as appropriate.
- Ensure staff are employed in accordance with the Trust’s Recruitment & Selection policy and procedure and current legislation including NHS Employment Check standards and the Disclosure and Barring Service.
- Ensure that the administration of all pre-employment checks – employment history and reference requests, Occupational Health clearance, Identity checks and Right to work and Remain in the UK, are undertaken in line with procedures.
- Apply for certificate of sponsorships using current sponsorship application system as appropriate and liaise with UK Borders Agency to check candidates visa status.
- Undertaking on going information checks and quality assurance practices to achieve desired quality standards, and to report and amend processing errors.
- Support the provision of regular recruitment activity reports with analysis highlighting areas of good practice/ concern and recommended action Contribute to national / regional returns as appropriate.
- Prompt administration and issue of documentation such as Offer letters and Contracts of employment.
- Ensure all applicant documentation and information (hard or electronic) is kept in a confidential and secure environment
Risk and Governance Management
- Support administration of internal audit and ensuring all personnel files meet the NHS Employer Standards.
Information Management
- Administration and maintenance of the applicant management systems (TRAC, NHS Jobs, ESR), ensuring appropriate electronic and manual records are accurate and complete.
- Assisting systems teams in meeting records management standards, and supporting records management functions operationally as required

Essential
- Ability to use IT – HR Information systems/E Recruitment systems such as ESR, Trac, NHS Jobs, Microsoft Office – Word, Excel and PowerPoint.
- Strong written communication.
- Able to use initiative, organise and prioritise workload, meet deadlines and work under pressure.
- Ability to manage multiple projects and tasks and to take ownership of functional areas.
- Possesses a high level of accuracy and attention to detail.
- Able to work as part of a team and independently.
Desirable
- Able to use initiative to drive processes forward, to use innovation to deliver quality outcomes and to propose changes to business processes.
Experience
Essential
- Understanding of current issues within the NHS in relation to staff recruitment and retention.
- Strong customer service background.
- Understanding of employment law and familiarity with Home Office Legislation
- Understanding of equal opportunities and diversity.
- Understand and maintain the importance of confidentiality.
- Demonstrable administrative experience.
Desirable
- Experience in recruitment, selection and retention in a complex organisation.
- Experience in delivering bulk recruitment services.

- Excellent interpersonal skills, ability to provide advice and support over the phone and in person.
- Ability to deal with sensitive customer enquiries from occasionally irate or distressed customers.

Education and Qualification
Essential
- NVQ Level 4 in HR, Management or equivalent.
- A minimum of A level qualifications, or equivalent.
