Main duties of the job
We are looking to recruit an experienced and motivated Reception Administrator to join our busy administrative team. The post holder will provide a professional and efficient reception and administrative service, acting as a key point of contact for patients, families, carers, and healthcare professionals.
Duties will include managing telephone, email, and face-to-face enquiries, booking patient appointments, supporting waiting list and prescription administration, scanning documentation to electronic patient records, and providing general administrative support to the service.
The successful candidate will have excellent communication and organisational skills, strong attention to detail, and the ability to work effectively under pressure, both independently and as part of a team. A compassionate and patient-focused approach is essential.
The role offers the opportunity to work closely with a multidisciplinary team including Paediatric Consultants, Occupational Therapists, Physiotherapists, Speech and Language Therapists, and Audiologists, supporting the delivery of high-quality care for children, young people, and their families.
Detailed job description and main responsibilities
You will be part of a team that is the first point of contact for parents, carers, healthcare and education professionals. This contact can be via telephone, text, email or in person.
You will provide administrative support for the paediatric team including Occupational Therapists and Physiotherapists, consultants, practitioners and nursing staff. This support can include:
Monitoring and processing electronic and email referrals. Updating electronic records. Answering calls and other enquiries. Providing front of house reception duties. Prescription administration. Booking appointments. Scanning. Send out reports / clinical letters. Any other administrative tasks as deemed appropriate by the Centre Manager. You will ensure the timely and accurate and confidential recording of activity across paediatric services using Trust approved IT, processes and procedures.
You may be communicating with vulnerable patients and their parents / carers and you will be required to respond appropriately within the given timeframes.
