This is an exciting opportunity to join us as Planned Care Rota Manager.  The successful candidate will be responsible for the administration processes to support the management of Planned Care rotas, ensuring effective, safe staffing levels of senior and junior doctors 24 hours a day 7 days a week; proactively identifying potential issues and take the necessary action in order to maintain service provision.

The post holder is responsible for the day-to-day management and maintenance of the Surgical/Medical  rotas. Manage production of daily rotas ensuring appropriate grades are on shift and establishment is maintained including all on call rotas for the Planned Care division (including surgical, paediatrics, O&G,T&O).

To exercise judgement in producing cost effective rotas, promoting effective communication whilst having the ability to deal with constant interruptions and demands.

Support and train service managers/assistant service managers  in the use of the e roster and patchwork system.

Main duties of the job

Provide an administrative service to the clinical body, with diary/rota management for oncall doctor's rotation.

To be the first point of contact for all Rotas queries.

Attend weekly rota meetings.

Management of incoming and outgoing written and email correspondence.

Manage the surgical/medical staffing rotas, accessing systems to assist in the planning of rotas and dealing with complex and often conflicting demands on resources to ensure surgical cover is delivered appropriately.

Ensure that rotas and the rota system are updated in a timely manner which in turn ensures the system is “live”.

Liaison with doctors both internally and externally to organise booking their locum shifts.   Management of the ‘Patchwork’ locum booking system

To be conversant with the relevant IT systems and packages and, where necessary, create and maintain spreadsheets and databases.  Ensuring accurate data entry.

Liaison with the undergraduate team to coordinate medical student placements.

Cross cover support assistance within admin/secretariat team.

Knowledge and skills based

Essential

  • Good basic educational qualifications. Understanding of admin and HR processes acquired through training and/or experience
  • Reliable and organised, ability to prioritise and manage time effectively. Ability to work on own initiative and multi-task
  • Computer literate including word, excel, power point, email.
  • Fully understanding of the need for maintaining confidentiality.
  • Previous experience working in a busy office with conflicting demands.
  • Dealing with difficult and challenging situations. Demonstrates passion for excellence
  • Excellent written and oral communication skills. Takes pride in their work and their team

Desirable

  • Experience of anaesthetic department systems such as CLW rota, Patchwork. NHS experience
  • Rota Coordination and workforce planning
