To provide an administrative support to the Paediatric service and our patients. You will be responsible for ensuring the highest standard of work is undertaken to ensure patients are seen in a timely manner, in the right place by the right person. You will have responsibility for the patient tracking waiting list (outpatient waiting list), validating and ensuring accuracy. The postholder will have direct contact with families, providing them with information and support. You will work as part of a high functioning, effective team, supporting consultants and clinicians as well as team members. You will need to be proficient in organisational skills, communication, working on your own initiative, be empathetic and proactive.

Supporting clinical and operational teams to deliver an efficient and effective outpatient service.

Acting as senior administration support for designated clinicians, interfacing between other relevant teams to resolve issues and coordinate patient pathways.

Acting as point of contact for patients who have queries in relation to their pathway, require clinic input etc. Ensuring their query is dealt with accordingly and responded to swiftly. This may include conveying complex information and ensuring that the outcome is understood.

Setting up outpatient clinics inclusive of booking / cancelling rooms and assisting operational teams with clinic template arrangements.

Communicating effectively with stakeholders, using negotiation skills to achieve the desired outcome.

Skills

Essential

  • Excellent word processing skills / computer skills.
  • Evidence of working under pressure to tight deadlines and deal with difficult situations e.g., patients, public and visitors
  • Good administrative skills
  • Strong organisational skills with ability to prioritise.
  • Good attention to detail.
  • Ability to make decisions using own initiative.

Experience

Essential

  • Customer care work experience or previous clerical experience.
  • Ability to input and retrieve information on a computerised system whilst adhering to complex local and national policies and guidelines accurately and efficiently
  • Experience of handling inbound and outbound telephone calls of a potentially sensitive nature whilst recording information accurately into multiple electronic data systems.

Desirable

  • Experience of transcribing dictation or copy typing.

Communication

Essential

  • Effective verbal and written communication skills.
  • Good telephone manner.
  • Good all round communication skills
  • Good customer service skills.

Qualifications and knowledge

Essential

  • Good general education including English at GCSE (Grade C or above) or equivalent
  • NVQ Level 3 or relevant equivalent experience
  • Strong IT skills in relation to Microsoft packages.

Desirable

  • ECDL qualification or equivalent

Essential

  • Willingness to attend training sessions to develop self and improve service provided to patients
