We are looking for an organised and motivated Outpatient Clinic Coordinator to support the smooth running of outpatient services. The successful candidate will provide administrative support to clinicians and patients, ensuring clinics are booked efficiently and patient pathways are managed effectively. Ensure patient records and clinic information are updated accurately

Liaise with consultations, nursing staff and other departments

Handle telephone and email queries

Support outpatient waiting list and appointment bookings

Maintain confidentiality and comply with Trust policies

Detailed job description and main responsibilities

The Outpatient Clinic Coordinator is responsible for providing comprehensive administrative and coordination support to ensure the efficient day to day running of outpatient clinics. Post holder will work closely with consultants, nursing teams, admin staff and patients. They will be responsible for coordinating clinic activity, managing appointments, maintaining accurate patient records and ensuring that clinics are appropriately organised and prepared in advance. The role requires excellent communication, organisational and ability to work in fast paced environment while maintaining accuracy.

Coordinate outpatient clinics and appointment bookings. Ensure clinics are fully utilised and appropriately managed to support patient flow and reduce waiting times. Maintain accurate and up to date patient information. Support outpatient waiting list management and referral to treatment (RTT) pathway. Ensure all adminstrative tasks are completed within agreed timeline. Undertake general admin duties including filing, scanning email and telephone queries.

Applicant requirements

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

  • Administrative experience

Desirable

  • Experience of working in a busy and demanding customer facing role

Skills and Abilities

Essential

  • Proficient in the use of MS Office IT software packages (eg MS Excel, Word).
  • Ability to work within a team in a multi disciplinary service, maintaining an excellent working relationship with staff at various levels.

Education/Qualifications

Essential

  • Educated to GCSE level (including English and Maths to GCSE A-C), or equivalent qualifications.

Desirable

  • Evidence of continuing education and development
