Job overview

We are seeking an organised, proactive, and highly motivated Senior Administrator/Coordinator to join our busy Colposcopy Department within Gynaecology. This is an exciting opportunity for an experienced administrator who is passionate about delivering high-quality patient care through excellent service coordination and operational support.

As a key member of the team, you will play a vital role in ensuring the smooth and efficient running of Colposcopy services. You will be responsible for coordinating patient pathways, managing clinic activity, and supporting the delivery of national and local performance targets.

You will oversee the timely scheduling and management of appointments, multidisciplinary team (MDT) meetings, treatments, and patient follow-up activities, ensuring patients receive seamless and efficient care.

Main duties of the job

  • Manage appointment capacity and cover for absent coordinators.
  • Coordinate clinics and sessions, process referrals, and ensure timely service delivery.
  • Book patients into appropriate clinics (e.g., MRI, Theatre) within access timeframes.
  • Lead data capture and validation for 18-week RTT pathways; support waiting list management.
  • Monitor assigned service performance indicators (e.g., data quality such as cashing up of clinics, call response times, Theatre clinician availability, RTT, private activity trackers, satellite clinic activity, cancer and diagnostic standards) and report promptly. Not all KPIs will apply to every individual; responsibilities will be allocated based on the specific areas they cover.
  • Communicate service information clearly to patients, families, GPs, and referrers.
