This apprenticeship offers an excellent opportunity to gain new skills and experience in NHS administration within the Human Resources division. You will work as part of our ESR transactional team, providing timely, accurate HR and payroll data support to ensure staff across gesh are paid correctly. On successful completion of the programme, you will achieve a Business Administrator Level 3 qualification and progress to a Band 4 ESR Administrator role.

Main duties of the job

As a Trainee ESR Data Apprentice, you will support the ESR transactional team in delivering accurate and timely HR and payroll processing for staff. You will help process starters, leavers and contractual changes, make real time updates to staff records, and work to weekly and monthly payroll deadlines to ensure staff are paid correctly. You will run scheduled and ad‑hoc reports to support data quality, maintain audit trails, and support with HR and pay related queries from staff and managers. You will also work closely with other HR teams ensuring workforce information is consistent across systems, and contribute to continuous improvement within the wider HR department.

Detailed job description and main responsibilities

As a Trainee ESR Data Apprentice, you will work within the ESR transactional team to deliver a high quality, accurate and timely HR and payroll data service. You will learn how to process starters, leavers and contractual changes, make real time updates to ESR records, and understand how these changes impact staff pay, terms and conditions and payroll deadlines.

You will support the team in maintaining data quality by running scheduled and ad‑hoc reports, validating information, and ensuring workforce data is consistent across systems. You will help maintain audit trails, contribute to shared inbox management, and respond to HR and pay related queries from staff, managers and the payroll provider.

You will work closely with other HR teams to ensure workforce information is aligned and accurate across systems. You will also contribute to continuous improvement by challenging processes, suggesting workflow enhancements and supporting small projects within the HR department.

Throughout the apprenticeship, you will receive structured training, supervision and dedicated study time, developing skills in HR systems, payroll processes, data quality and information governance. You will work towards achieving the Business Administrator Level 3 qualification, progressing to a Band 4 ESR Administrator role upon successful completion.
