JOB DESCRIPTION

POST: Emergency Department Support Officer (Shift work)

LOCATION: Urgent & Emergency Department RBHSC

BAND: 3

REPORTS TO: ED Team Leader

RESPONSIBLE TO: Admin Co-Ordinator

Job Summary / Main Purpose

The post holder will work as an integral part of the Department’s Multi-disciplinary Team to provide support in meeting the needs of all patients who attend.

The post holder will be required to work closely with providers of support services.

The main elements of the role include providing a high level of clerical support, hospitality, minor maintenance, stores and general tidiness. He/she will undertake other duties as required to ensure the department is welcoming, efficient, comfortable, and meets the needs of individual patients.

Main Duties / Responsibilities

For each of the following, the post holder will;

General

Provide an effective customer service.

Meet and greet patients on arrival to the Department in a professional and courteous manner and provide any relevant information required.

Communicate effectively within the multi-disciplinary team, ensuring that patient’s needs are known.

Contribute to maintaining a safe, clean and tidy environment, which includes monitoring the environment and equipment.

Ensure patients are kept informed of any delays in their treatment, admission or discharge.

Ensure effective participation in the patient liaison process including effective management of the process.

Ensure the Department has sufficient stocks to meet patient and staff needs.

Respect the privacy and dignity of patients whilst carrying out their duties.

Clerical

Answer phones and patient enquiries promptly.

If required Photocopy ED notes for admitted patients.

Inform the IT dept. if any problems with printers or the IT system and reporting any problems as urgent. Follow up until response.

Take details of patients who arrive by ambulance.

Maintain notice boards, disposing of out of date or irrelevant material.

Book transport of patients, e.g. NIAS, taxi, relatives.

Follow up blood results, CT results etc.

Ordering of stores – keeping all clerical stock levels up to date and tidy.

Page specialty teams as requested.

Communicate effectively with patients/relatives/carers respecting confidentiality but ensuring that appropriate information is passed on to nursing staff.

Provide cover for ED reception / ATTEND / MIU in time of staff shortages.

Disposing of confidential waste bags.

If required ensure that outpatient referrals are forwarded on as requested by the ED clinician using outlook.

Order porters for patients/relatives via the encompass system.

Scan patient records in real time when they come to the department, such as ambulance PRFs/GP referral letters/ nursing home documentation and other documentation as required.

Cleaning

Promote the maintenance of a safe and tidy department at all times.

Support Department activities relating to patient admission and discharge i.e. informing the Ward and Bedside Team of terminal cleans spillages etc.

Keep nurses’ station tidy and free from clutter.

Identify any problems with cleanliness and report to the Nurse in Charge.

Ensure Department cupboards are kept organised, cleaned and tidy.

Catering

Co-ordinate at department level the provision of any additional meal requirements that arise in conjunction with the kitchen manager and nursing staff.

Identify any problems with catering and report to sister and kitchen managers.

Maintaining the Environment

Ensure that a daily check is made of all computer terminals to ensure that they are working in all areas.

Ensure that faulty equipment is reported, repaired and returned in a timely manner.

Monitor levels of scrub suits and order more as required.

Monitor and co-ordinate other ad hoc maintenance, liaising with appropriate helpdesks and Estates staff as required.

Ensure linen store is kept clean, tidy and used for purpose of stored linen.

Monitor the level of linen available and report problems to the Ward Sister/Charge Nurse.

Assist with the removal of confidential waste as per BHSCT policy.

Respect the privacy and dignity of patients whilst carrying out duties.

Maintain the safety of people’s property and belongings.

Adheres to all BHSCT Policies.

Education and Practice Development

Participate in own staff appraisal.

Participate in in-servicing training.

Attend mandatory training.

Continue to train and develop own knowledge and practice in keeping with clinical and personal need.

Undertake training in the ordering of supplies pertinent to the ED.

Environmental Cleaning Strategy

The Trusts Environmental Cleaning Strategy recognises the key principle that “Cleanliness matters is everyone’s responsibility, not just the cleaners” Whilst there are staff employed who are responsible for cleaning services, all Trust staff have a responsibility to ensure a clean, comfortable, safe environment for patients, clients, residents, visitors, staff and members of the general public.

Infection Prevention and Control

The Belfast Trust is committed to reducing Healthcare associated infections (HCAIs) and all staff have a part to play in making this happen. Staff must comply with all policies in relation to Infection Prevention and Control and with ongoing reduction strategies. Standard Infection Prevention and Control Precautions must be used at all times to ensure the safety of patients and staff.

This includes:-

Cleaning hands either with soap and water or a hand sanitiser at the appropriate times (WHO ‘5 moments’);

Using the correct ‘7 step’ hand hygiene technique;

Being ‘bare below the elbows’ when in a clinical environment;

Following Trust policies and the Regional Infection Control Manual (found on intranet);

Wearing the correct Personal Protective Equipment (PPE);

Ensuring correct handling and disposal of waste (including sharps) and laundry;

Ensuring all medical devices (equipment) are decontaminated appropriately i.e. cleaned, disinfected and/or sterilised;

Ensuring compliance with High Impact Interventions.
