Job overview

The Digital Health Systems Administrator acts as the primary point of contact for the Digital Health Systems team, triaging and accurately logging support requests and coordinating their allocation to technical experts. The role provides essential administrative and operational support, maintaining documentation, managing contracts, assisting with AMS performance monitoring and producing KPI reports. It requires strong organisational skills, attention to detail and the ability to work effectively with clinical teams, suppliers and digital colleagues while supporting ISO 9001‑aligned quality management processes.

Main duties of the job

The role holder will be required to handle incoming and outgoing Digital Health System processes utilising the relevant spreadsheet or database to input the correct information regarding each system. A large portion of this role relates to the general administration of the Digital Health System department in terms of answering telephone queries, engaging with Trust staff who attend the department and gathering the necessary information from Digital Health System staff regarding incidents/Servicec Requests. This role also includes all aspects of the purchase ordering process. This role also covers the support to implementation of ISO9001/ISO13485 accreditation.

Due to the operational nature of the Digital Health Systems Team, postholders are required to work on-site on a full-time basis to ensure effective day-to-day service delivery and timely response to clinical needs. Working patterns will be agreed in accordance with the needs of the service and the organisational structure. Where applicable, staff may also be expected to participate in an on-call rota to support out-of hours service continuity.

Skills

Essential

  • The ability to prioritise workloads and plan effectively, without direct supervision
  • Excellent communication skills, both written and oral
  • Good IT skills, including the ability to use Word, Excel, and PowerPoint at a basic level.

Education

Essential

  • A minimum of five GCSEs at grade A* to C/9-4 (or equivalent qualification) including Mathematics and English
  • Degree level qualification or equivalent experience, preferably in engineering

Experience

Essential

  • Experience of working and communicating with a range of people – colleagues, suppliers and customers (patients/clinical staff)
  • Experience of working in a public reception environment.
  • Highly experienced in administration, preferably including asset management systems
