Job overview

The Clinical Systems Support Specialist will provide specialist support, administration, configuration and continuous improvement of the Trust's clinical applications, including RiO and SystmOne. The postholder will work with clinical, operational and digital teams to resolve system issues, implement improvements, support users and contribute to the ongoing development of digital services that support patient care.

Main duties of the job

The Clinical Applications Team is seeking an enthusiastic and motivated Clinical Systems Support Specialist to support, maintain and develop the Trust's Electronic Patient Record (EPR) systems and associated clinical applications.

Working within a specialist team, you will provide support for clinical systems including RiO, SystmOne and integrated digital solutions that support patient care and operational services across the Trust. You will investigate and resolve system issues, manage user access and configuration requests, implement system enhancements, and provide advice and guidance to staff to ensure the safe and effective use of clinical applications.

The role offers the opportunity to work closely with clinical, operational and digital colleagues to improve workflows, enhance system functionality and support digital transformation initiatives. You will contribute to testing, implementation and optimisation activities, maintain data quality and system integrity, and help ensure clinical systems meet the needs of services and patients.

We are looking for a candidate with excellent problem-solving and communication skills, experience of supporting digital systems, and the ability to work collaboratively with a wide range of stakeholders.

Detailed job description and main responsibilities

The postholder will work closely with clinical, operational and digital colleagues across the Trust to ensure systems are configured and maintained effectively, meet service requirements, and support safe, high-quality patient care.

Key Responsibilities Clinical Systems Support

  • Provide second-line support for clinical applications, including RiO, SystmOne and associated integrated systems.
  • Investigate, diagnose and resolve system incidents, service requests and user-reported issues.
  • Provide advice and guidance to clinical and non-clinical users on the effective use of clinical systems.
  • Escalate complex technical issues to suppliers, system administrators or senior team members where appropriate.
  • Contribute to the maintenance of knowledge bases, support documentation and standard operating procedures.

Clinical Systems Administration

  • Administer user accounts, profiles, permissions and access requests in accordance with Trust policies and procedures.
  • Support the maintenance of system structures including teams, clinics, caseloads, waiting lists and organisational hierarchies.
  • Process configuration requests and system administration activities in a timely and accurate manner.
  • Maintain data integrity and support data quality initiatives through the investigation and resolution of identified issues.

Configuration and Development

  • Configure and maintain forms, templates, letters, workflows and other system components.
  • Support the implementation of approved system developments and service improvements.
  • Assist in gathering, documenting and validating business requirements for system changes.
  • Identify opportunities to improve clinical workflows and contribute to the optimisation of existing system functionality.
  • Support the implementation of upgrades, releases and new functionality.

Testing and Change Management

  • Participate in the testing of system enhancements, upgrades and new developments.
  • Create and execute test scripts and document testing outcomes.
  • Support user acceptance testing activities with clinical and operational stakeholders.
  • Assist in ensuring system changes are implemented safely and in accordance with agreed governance processes.

Training and User Engagement

  • Develop and maintain user guidance, training materials and digital learning resources.
  • Provide support and guidance to users during system implementations and service changes.
  • Promote best practice in the use of clinical systems and support user adoption of new functionality.
  • Assist in the delivery of awareness sessions, demonstrations and training activities where required.

Stakeholder Working

  • Develop effective working relationships with clinical services, operational teams, digital colleagues and external suppliers.
  • Respond professionally to customer enquiries and maintain a customer-focused approach to service delivery.
  • Work collaboratively with colleagues to support service objectives and digital transformation initiatives.
  • Represent the Clinical Applications Team at meetings and working groups as required.

Governance and Information Management

  • Comply with all Trust policies relating to information governance, confidentiality, data protection and cyber security.
  • Ensure that all activities support the safe and secure use of clinical information systems.
  • Contribute to audits, reporting requirements and governance processes as required.
  • Maintain appropriate records of work undertaken and ensure documentation is accurate and up to date.

General Responsibilities

  • Participate in personal development review processes and undertake relevant training.
  • Maintain knowledge of clinical applications and associated technologies.
  • Contribute to service improvement initiatives and the achievement of team objectives.
  • Undertake any other duties consistent with the responsibilities and grade of the post.
