Job overview
Step into a pivotal leadership role as one of only three Clinical Coding Team Managers in our department. Reporting directly to the Head of Department, you will hold a highly senior position where you lead, mentor, and inspire a dedicated team of 4-5 clinical coders. This is a dynamic ‘player-coach’ role; you will split your time roughly 50/50 between hands-on clinical coding and operational leadership, allowing you to stay clinically sharp while guiding your team. You will be the strategic engine of our workflow—expertly balancing complex caseloads, managing long-stay patient lists, and driving both individual and team productivity. By collaborating closely with your fellow managers, you’ll help steer our overall uncoded backlog and ensure seamless support across all specialties. If you are an expert coder ready to elevate your career, shape departmental strategy, and make a tangible impact on patient data quality, this is your opportunity to be a key driver of our success.
Main duties of the job
In this senior role, you will be both a leader and a practitioner. Roughly half of your week will be spent hands-on coding across specialties such as Trauma & Orthopaedics, Gynaecology, and General Medicine amongst others using Cerner Millennium and Medicode, ensuring you stay clinically sharp and connected to your team’s daily reality. The other half is dedicated to operational leadership: you will use Excel to intelligently divide uncoded lists, balance workloads to prevent burnout, and monitor both individual and team productivity. You’ll also collaborate closely with the other two Team Managers to strategise on the overall departmental backlog and manage day-to-day team wellbeing, leave, and performance.
To thrive here, you must be an Accredited Clinical Coder (ACC) with at least three years of experience and strong Excel skills for workload analysis and distribution. Beyond technical ability, we are looking for someone with excellent communication, a genuine commitment to team harmony, and a versatile, can-do mindset that balances high performance with compassion. In return, we offer hybrid working, flexible hours to support work-life balance, regular clinical coding training, and direct mentorship from senior leadership to support your ongoing career progression.
Detailed job description and main responsibilities
- Caseload Allocation & Balancing: Expertly divide daily/weekly uncoded lists into manageable allocations for your team using Excel. Ensure workloads are balanced to prevent coders becoming overwhelmed while effectively managing complex, long-stay patient cases.
- Performance Monitoring: Track and analyze both individual and collective team productivity. Monitor the uncoded backlog for your designated specialties and the overall departmental figure.
- Cross-Team Collaboration & Coverage: Communicate frequently with the other two Team Managers to strategize on the overall uncoded backlog. Proactively cover for fellow TMs during absences and redistribute work across teams when needed, including allocating cases from other specialties to your own team to maintain departmental flow.
- Department-Wide Support: Provide hands-on coding support and workload assistance to other teams when capacity allows, ensuring no team is left overwhelmed during peak periods or staff shortages.
- Team Management: Manage day-to-day team operations, including overseeing leave, sickness, performance issues, and fostering a positive, harmonious team environment.
- Specialty Coding: Spend approximately 50% of your time hands-on coding across Trauma & Orthopaedics, Gynaecology, and General Medicine amongst others, maintaining clinical accuracy and staying connected to your team’s daily challenges.
- System Utilization: Use Cerner Millennium and Medicode to ensure accurate, high-quality clinical coding in line with national standards and local policies.
- Qualifications & Experience: Hold the ACC (Accredited Clinical Coder) qualification with a minimum of 3 years experience as a clinical coder.
- Technical Proficiency: Be highly proficient in Microsoft Excel for workload analysis and list division. Strong working knowledge of MS Office (Outlook, Word) is essential.
- Systems Knowledge: Experience using Cerner Millennium and Medicode is desirable (local configuration training provided).
- Communication: Excellent verbal and written communication skills, with the ability to convey complex information clearly and empathetically.
- People & Wellbeing Focus: Genuine commitment to collegiate wellbeing, team harmony, and creating a supportive working environment.
- Mindset & Drive: Strong sense of responsibility, belief in high performance, and a proactive, can-do attitude.
- Versatility & Focus: Mental agility to seamlessly switch between strategic oversight and detailed hands-on coding, with sustained focus under pressure.
- Hybrid & Flexible Working: Hybrid model with part-week remote working. Highly flexible department committed to work-life balance.
- Continuous Clinical Learning: Regular clinical coding training sessions (as time/productivity allows) to broaden knowledge and maintain coding sharpness.
- Direct Mentorship: 1-on-1 mentorship from Head of Department and Deputy on management, leadership, and people skills.
- Career Progression: Active support for formal career development and progression within operational constraints.
