This is an exciting opportunity for an experienced Clerical Assistant to join our General Surgery Administrative Team at UHD. You will provide support to our Consultant Secretaries and Clinical teams through administrative tasks such as audio typing, assisting with phone queries and organising post and filing to ensure the department runs smoothly. The post holder must be IT literate and ideally familiar with hospital computer systems including eCamis and EPR. Knowledge of Microsoft Teams would also be beneficial. The ideal candidate must have a good knowledge of office practices and medical terminology alongside excellent interpersonal skills and be reliable and flexible with the ability to work under pressure and above all be a team player. We offer training and development opportunities within an established secretarial team which sits within the Surgical Secretariat.
Main duties of the job
To support the administrative service within the Directorate Team.
- Computer literate with word processing experience and Audio Typing skills.
- Scanning/Shredding/photocopying.
- Uploading documentation to internal hospital systems.
- Ensuring flow of communication within the department.
- Post Holder will be required to liaise with all levels of staff.
- Ensure that the telephone is always attended during normal working hours, if only with a message facility in the absence of the post holder and relay message appropriately.
- Responsible for the safe transportation of patient notes in and out of the department.
- To provide a multi-skilled administrative service to the Medical Secretaries to enable the service to run efficiently.

We are seeking a motivated and organised Administrative Support Assistant to provide a comprehensive administrative service within the department. The post holder will support Consultant Secretaries, Medical Secretaries and wider clinical teams to ensure the efficient running of the service.
The successful candidate will be computer literate with experience in Microsoft Office applications, audio typing, and general office administration. They will be responsible for managing a range of duties including telephone enquiries, document scanning and uploading, photocopying, shredding confidential information, mail distribution, and maintaining accurate patient records.
The role requires excellent communication and organisational skills, with the ability to manage competing priorities, work independently using initiative, and maintain professionalism in a busy environment with frequent interruptions and tight deadlines. A commitment to patient confidentiality, data protection, and high standards of customer service is essential.
