We are seeking an enthusiastic individual to join our Cardiac Rehabilitation Service at UHCW on a 12-month fixed-term contract. You will provide vital administrative and clerical support to a multidisciplinary team delivering specialist rehabilitation services for patients with heart disease and heart failure across Coventry and Rugby.

Based at the Centre for Exercise and Health in Coventry, you will play a key role in supporting the patient journey, helping to ensure the smooth delivery of services that enable patients to improve their health, regain confidence, and return to active, independent lives. Working closely with nurses, exercise specialists, pharmacists, admin specialists and other healthcare professionals, you will be part of a friendly and supportive team committed to delivering high-quality patient care and service excellence.

Main duties of the job

This role is ideally suited to an organised, proactive and motivated individual who enjoys working in a patient-focused environment. It offers the opportunity to work as part of a supportive multidisciplinary team and gain valuable experience within specialist cardiovascular services.

The post holder will have regular direct contact with patients and healthcare professionals, supporting the coordination and delivery of heart failure and cardiac rehabilitation services across Coventry and Rugby. Key responsibilities include scheduling and managing patient appointments using the Trust's Electronic Patient Record (EPR) system, maintaining and updating clinical databases, making telephone calls to patients to confirm appointments, and providing comprehensive administrative and clerical support to ensure the effective day-to-day running of the service.

By helping to ensure patients receive timely access to rehabilitation services and a positive patient experience, the post holder will play an important role in supporting improved health outcomes for people living with cardiovascular disease

Detailed job description and main responsibilities

The post holder will support the comprehensive administrative and clerical support to the Cardiac Rehabilitation Heart Failure Service and wider Cardiac Rehabilitation Team, contributing to the efficient delivery of patient care across Coventry and Rugby.

Key responsibilities include coordinating and scheduling patient appointments using the Trust's Electronic Patient Record (EPR) system, preparing and distributing appointment letters and related correspondence, and maintaining regular telephone contact with patients to confirm appointments and support their journey through the service.

The role will involve producing letters, reports, clinic documentation and other correspondence to a high standard, maintaining accurate electronic databases and filing systems, and ensuring patient information is recorded, stored and archived in accordance with Trust policies and information governance requirements.

The post holder will act as a key point of contact for patients, carers and external organisations, responding to telephone and email enquiries in a professional and timely manner. They will support data collection and entry activities required for service monitoring, audit and reporting, helping to ensure the accuracy and quality of clinical information held within Trust systems.

Working closely with the multidisciplinary cardiac rehabilitation team, the post holder will contribute to the smooth day-to-day running of the service, provide administrative cover during periods of staff absence, and support ongoing service improvement and development initiatives. They will undertake additional duties appropriate to the role as required by line management, demonstrating flexibility and a commitment to delivering a high-quality administrative service.
