Job overview

The Capital and Connectivity Support Officer provides administrative and coordination support across the DDaT capital programme and medical device connectivity projects. The postholder will support digital and medical device capital schemes through maintaining accurate documentation and trackers, raising purchase orders, monitoring progress, and coordinating with clinical teams, DDaT colleagues, Clinical Engineering, suppliers and other stakeholders.

The postholder will also support medical device connectivity projects by maintaining project records, coordinating meetings and communications, following up agreed actions and dependencies, and escalating delays, unresolved issues or technical matters to the Medical Device Capital and Connectivity Manager or relevant technical lead.

The postholder will support the development and maintenance of Standard Operating Procedures (SOPs), including document control, version tracking and timely review, and contribute to the implementation and maintenance of the department’s Quality Management System (QMS) in alignment with ISO 9001 standards. The role will also support routine departmental KPI and DDaT capital programme reporting using agreed information and templates.

Main duties of the job

Administrative, Capital and Connectivity Support

  • Provide a friendly and professional administrative service and act as a point of contact for the DDaT capital programme and medical device connectivity projects.
  • Coordinate and prioritise incoming requests, working with relevant teams to support agreed workloads, actions and deadlines.

Database and Documentation Administration

  • Maintain accurate records and documentation within appropriate digital systems, capital programme and connectivity project trackers, in line with departmental standards.
  • Support the registration and documentation of digital and medical device capital schemes within the appropriate departmental records and trackers.

Contract, Procurement and Supplier Coordination

  • Manage purchase orders and invoices for approved digital and medical device capital schemes, ensuring accuracy, compliance with procurement policies, and prompt resolution of routine queries. Maintain up-to-date expenditure, order and delivery records and support routine financial monitoring, escalating discrepancies or complex issues to the Medical Device Capital and Connectivity Manager.

DDaT Capital Programme Support

  • Provide administrative support for the DDaT capital programme, including digital and medical device capital schemes.
  • Monitor order and delivery progress, escalating delays and outstanding actions in a timely manner.
