This is a fixed term post focussing on improvement within the Antenatal Clinic Department. The post holder will lead and influence the improvement of processes within the Antenatal Clinic Department, part of the Planned and Surgical Care Directorate, by driving the development, embedding and optimisation of efficient administrative processes, with a particular focus on the antenatal booking pathway. Operating as a stand-alone role, the post holder will work closely with the Service Manager, General Manager and Business Support Officer to lead service improvement, ensure consistency of practice and support delivery against key performance objectives.

The role requires a high level of autonomy, with the ability to work independently, demonstrating initiative, sound judgement and personal accountability in managing competing workloads, priorities and deadlines. The post holder will lead by example, adhering to Standard Operating Procedures while actively leading and contributing to quality improvement initiatives and the ongoing refinement of administrative processes.

A strong understanding of performance targets, operational pressures and the critical role of effective administration in supporting clinical services is essential.

Main duties of the job

  • Antenatal Booking Pathway Improvement - Lead on and influence the development, implementation and continuous improvement of the antenatal booking pathway, ensuring efficient, patient-centered administrative processes are embedded across the service.
  • Leadership and relationship building - Provide visible leadership, guidance and motivation to the antenatal administration team, including day-to-day oversight and coordination of workloads, while fostering effective working relationships with the wider antenatal team and key stakeholders.
  • Team support and development – Work in partnership with the Business Support Officer to support the development and day-to-day functioning of the antenatal administrative team, promoting consistency, high standards of performance, and leading the embedding of new ways of working where required.
  • Quality, standards and process consistency - Drive improvement in consistency of delivery through the development of clear standards, robust processes and a ‘right first time’ approach to administrative functions, ensuring sustainable and measurable outcomes.
  • Staff support and training - Provide guidance, support and informal supervision to both new and existing members of the antenatal administration team, contributing to induction, training and ongoing development, and promoting a culture of continuous learning.

Qualifications

Essential

  • IT literate with advanced working knowledge of Microsoft Office applications.
  • Educated to degree level or equivalent experience including experience at a post graduate level.
  • Relevant experience in supervising, coordinating or supporting administrative teams, with evidence of leadership responsibility (formal qualification desirable or equivalent experience).
  • Experience of leading or coordinating teams to drive change and deliver service improvements.
  • Significant experience of working within administrative services, ideally within a healthcare setting, with an understanding of operational pressures.
  • Experience of using data to inform decision-making and drive service improvement.
  • Experience of managing or overseeing patient pathways, including booking processes and waiting list management, ensuring compliance with targets and standards.

Desirable

  • Degree-level qualification or equivalent experience
  • Understanding of antenatal services and associated patient pathways.
  • Experience of applying project management principles to support or lead service improvement work.
