We are seeking an enthusiastic, organised and experienced administrator with excellent communication and interpersonal skills to support the delivery of the statutory child death review process across Devon and Cornwall.

The successful candidate will provide high-quality administrative support to both the Child Death Overview Panel (CDOP) and Joint Agency Response (JAR) functions, ensuring the smooth and effective operation of the service. You will be responsible for managing and prioritising your own workload, working closely with the Service Support Manager to support key service objectives and statutory responsibilities.

This role offers the opportunity to be part of a service that makes a genuine difference. The Child Death Response & Review Team works with health, social care, police and other partner agencies to understand the circumstances surrounding child deaths, identify learning, and promote improvements that may help prevent future deaths. By providing high-quality administrative support to this process, you will play an important role in ensuring that the voices, experiences and circumstances of children and families contribute to meaningful change and improved outcomes across Devon and Cornwall.

Main duties of the job

The role requires the handling, processing and management of sensitive and confidential information from a wide range of partner agencies. It is essential that the postholder maintains the highest standards of accuracy, professionalism and confidentiality at all times.

As part of this role, you will be required to assist with the coordination of the child death review process, ensuring information is collected, managed and shared appropriately and within agreed timescales.

Some documentation may contain distressing, traumatic or emotionally challenging content. The successful candidate will be able to work objectively and professionally with such information while recognising the importance of personal wellbeing and accessing support when required.

There may also be occasional contact with bereaved families, requiring a compassionate, sensitive and professional approach.

Job responsibilities

JOB PURPOSE

To provide a high-quality administrative service to the Child Death Overview Panel (CDOP) and Joint Agency Response (JAR) teams, supporting the effective delivery of the statutory child death review process. The post holder will provide comprehensive administrative support to clinical staff and team managers and contribute to the smooth and efficient running of this highly specialised service within Livewell Southwest.

SCOPE AND RANGE

The post holder will be responsible for providing a comprehensive and efficient administrative service to support the delivery of the Child Death Response & Review Service. This includes acting as a first point of contact for service users, and professionals, responding to telephone, email and enquiries in a professional and timely manner, and signposting or escalating queries as appropriate.

The Administrator will support the day-to-day running of the service by undertaking a range of administrative duties, including booking appointments, maintaining accurate records, inputting data, and ensuring all information is handled in accordance with confidentiality and data protection requirements.

The role will involve organising and supporting meetings, including the preparation of agendas, minute taking and distribution of documentation, as well as maintaining effective communication systems within the team.

The post holder will provide day to day supervision of administrative staff, supporting workload management, and contributing to staff development and a positive team environment.

In addition, the role includes maintaining filing systems and databases, supporting data collection and reporting requirements, and ensuring general office duties such as post handling, ordering supplies and document management are completed efficiently. The post holder will be expected to use initiative, prioritise workloads effectively, and contribute to service improvement.

MAIN DUTIES/RESPONSIBILITIES

To deliver an effective and competent level of administrative support and consistently deliver a client focussed service which promotes good customer service and effective working relationships.

To be responsible for providing daily administrative support in the allocated service area ensuring business priorities are met for example: maintaining records, minute taking, data inputting and reception duties.

Typing of confidential reports and letters; which may be supplied via hard copy and/or dictation, (which may contain distressing information) as requested to meet service needs.

Working proactively to support team. Ability to work on own and proactively as part of a team.

To provide the day-to-day supervision and line management of junior staff where appropriate.

Arrange appointments, meetings and events on behalf of the service, making bookings where necessary and ensuring all equipment and documentation is available, in conjunction with line manager where required.

To produce informal and formal minutes as an accurate record of meetings, transcribing and distributing as directed.

Maintain accurate and timely electronic and hard copy information e.g. training logs using organisational systems as directed, ensuring ease of access/retrieval as appropriate, and in line with policies.

Supporting operational staff to access management information; electronic and hard copy.

Collect and collate data to enable managers to monitor budgets and performance in relation to business support function with support of line manager.

Collect, collate and prepare information for service area users with support of line manager.

Maximise the use of electronic systems to enable effective management of the service area such as Microsoft Office and patient record systems.

Be compliant with the Data Protection and record management policies and procedures with particular reference to confidentiality and safeguarding issues.

PHYSICAL DEMANDS OF THE JOB

Physical Effort

Frequent sitting & standing. Inputting at a keyboard for most of day, frequent light effort to lift, sort & file case notes.

May have to occasionally move presentation equipment and office supplies or clinic consumables.

Mental Effort

Frequent concentration is required when inputting into systems, typing documents, making appointments & processing records with a need to ensure accuracy.

The work is usually predictable but there may be interruptions from telephone calls, visitors and staff & occasionally imposed deadlines.

Emotional Effort

The role requires the review, collation and management of information from multiple agencies, some of which may contain graphic, traumatic or emotionally challenging content. The postholder must be able to work professionally and objectively with such material whilst maintaining confidentiality and recognising the importance of personal wellbeing and accessing appropriate support when required. The postholder will have contact with families of deceased children from time to time.

The postholder will be regularly exposed to highly sensitive, distressing and emotive information relating to child deaths, serious incidents, safeguarding concerns and family circumstances.
