Job overview

The postholder is an integral part of the Pharmacy Administrative Service and will be required to provide comprehensive administrative support to the Pharmacy Directorate service ensuring the highest level of confidentiality is maintained at all times.

Main duties of the job

To provide a comprehensive administrative support service to the Pharmacy Directorate, ensuring the highest level of confidentiality is maintained at all times.

To provide secretarial support for general Pharmacy and Trust meeting eg Pharmacy Governance meetings, producing agendas, taking accurate minutes, create reports, correspondence and other documents as required.

To perform word processing, data entry and data collection tasks as required.

To work as part of the Pharmacy Administration team, including providing clerical support for administrative duties and to provide cross cover for the Administrative Support team during absences colleagues within the Directorate office.

To demonstrate a significant level of initiative and the ability to organise his/her own workload, some of which will be without immediate advice within clear procedural guidelines.

Applicant requirements

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

Essential

  • Busy office environment – Requirement for prolonged periods of concentration.
  • Working with VDU’s and general office equipment, e.g. photocopier etc. for majority of the day.
  • Use telephone headset as appropriate.
  • Able to sit in constrained position for processing, filing ao for short periods of time.
  • Able to prioritise workload and capable of working under pressure

Desirable

  • Occasional exposure to distressing and emotional telephone calls.

Flexibility

Essential

  • Ability to change work practices to facilitate developments of the department or service.
  • Flexible working hours to cover colleagues during absences

  • Occasional requirement to work over to complete urgent tasks

Qualifications

Essential

  • Good level of education with GCSE Mathematics and English language at grade 4 or above

Desirable

  • Level 3 NVQ, BTEC or equivalent level qualification in relevant area (ideally Business or Admin related)
  • Qualification in word processing or able to demonstrate key board skills and experience of using MS office applications)

Experience & Skills

Essential

  • Minute taking skills
  • Knowledge/experience of a range of Administrative Support procedures
  • Able to update and maintain various IT software packages to include good keyboard and IT skills
  • Good organisational skills, motivated and able to work on own initiative.
  • Able to meet deadlines and work effectively under pressure

  • Diary Management skills
  • Basic knowledge of medical terminology

  • Able to communicate with staff at various different levels
  • Work as part of as team
  • Demonstrate good verbal and written skills
