As an Administrative Assistant, you will be at the heart of our service, providing efficient and effective administrative support to a multidisciplinary team. You will be the first point of contact for service users, carers, and partner organisations, ensuring a welcoming, professional, and responsive experience.

Ideally you would hold a Business Admin qualification eg NVQ level 2 (or equivalent and/or experience), however this is not essential as full training is given. We support training and ambition with many of our Admin Assistants having been successful in achieving promotional posts within the wider Trust. The post holder will meet with the Business Support Officer regularly for 1-to-1 supervision sessions and annual appraisals.

Main duties of the job

To be successful in this role you will be required be organised, professional and adaptable with a sound level of written and spoken English.

This Admin Assistant role includes:

  • Answering the phone taking messages for the service and dealing with enquiries.
  • Using our clinical system RiO, inputting, creating letters and processing referrals.
  • Completing a wide range of admin tasks from an electronic workflow inbox
  • Scanning, uploading and copying.

Essential

  • Excellent typing skills, including audio-typing.
  • Proficient in the use of computer packages, including Microsoft Office
  • Ability to produce documents and reports to a high standard from handwritten and audio transcription.
  • Ability to work on own initiative and ability to prioritise workload in order to meet conflicting demands and deadlines
  • Understanding of the importance of confidentiality and maintaining confidentiality.
  • Demonstrate an understanding of the importance of effective teamwork

Desirable

  • Experience of minute taking
  • Customer service skills

Experience

Essential

  • Relevant experience of working in an office environment
  • Relevant experience of undertaking office procedures with minimal supervision.

  • Experience of using RiO or a patient clinical system and dealing with the public

Qualifications
