Internal secondment/fixed term contract for AFSS Admin; up to 30 hours per week.

In this varied role, you will be responsible for a range of administrative duties, including data entry, managing correspondence, responding to enquiries, maintaining accurate records, updating electronic systems, and supporting the smooth day-to-day running of the service. You will work closely with colleagues, service users, and partner organisations, helping to ensure information is processed accurately and efficiently.

We are looking for someone with excellent communication skills, attention to detail, and a positive approach to customer service. The successful candidate will be able to prioritise their workload, work effectively as part of a team, and demonstrate a commitment to confidentiality and accuracy.

Main duties of the job

The post holder will provide effective day-to-day administrative support across Livewell Urgent Community and Specialist Services (LUCSS), helping the wider directorate to run smoothly and respond to service needs. Duties will include acting as a first point of contact for enquiries, supporting reception areas where required, handling telephone, email and written queries, maintaining accurate electronic and paper records, data inputting, minute taking, preparing correspondence, and supporting meetings, appointments and events.

The role will also support key business processes, including recording information, processing requests, ordering stationery and equipment, assisting with invoices or payment processes, and helping managers access accurate information to support service delivery. The post holder will use Microsoft Office, patient record systems and other organisational systems appropriately, while maintaining confidentiality, data protection and safeguarding standards.

You will need to be organised, accurate and flexible, able to prioritise work within agreed procedures, work well as part of a team, and escalate issues appropriately when needed.

This role is not eligible for sponsorship under the Skilled Worker route.

Job responsibilities

The AFSS Admin Team provides central business support across a diverse range of community and specialist services within Livewell Southwest. As an Administrator, you will play an important role in ensuring services receive the administrative support they need to deliver high-quality care and support to patients and service users.

This is a varied and rewarding role where no two days are the same. You will support managers, clinical teams and wider services by coordinating administrative tasks, maintaining accurate records, processing information, responding to enquiries, arranging meetings and appointments, producing minutes, and ensuring key business processes run efficiently. You will also help maintain electronic and paper-based records, use a range of organisational systems, and provide professional support to colleagues across the directorate.

The AFSS Admin Team works across the directorate to provide flexible business support, meaning you will have opportunities to work with a variety of teams, develop new skills and gain a broad understanding of NHS community and specialist services. The role requires excellent organisational skills, attention to detail, and the ability to manage competing priorities while maintaining a high level of accuracy and confidentiality.

We are looking for someone who enjoys working with people, takes pride in delivering excellent customer service, and is confident using Microsoft Office and other electronic systems. You will need to be proactive, adaptable and able to work both independently and as part of a supportive team.

Qualifications

  • Educated to Vocational Level 2 (NVQ 2) in a relevant subject or equivalent level of qualifications or significant equivalent previous knowledge & experience
  • Good general education to GCSE level or equivalent
  • Intermediate word processing, Microsoft Office, Word and Excel

Desirable

  • Computer/Word processing qualifications to NVQ II or equivalent
  • ECDL
