Role / Purpose
The core purpose of the post will be to enhance the smooth running of this busy department including the management of patient databases and information systems. To enhance the delivery of excellent infection prevention and control by provision of general and administrative support to the IPCT and will contribute to the overall working of the Team. The post holder will be expected to work autonomously when required.
General
Provide comprehensive administrative support to the Infection Prevention & Control team (IPCT)
Provide comprehensive administrative support to the Infection Control Team, which would include preparing draft correspondence, reports, agenda, minutes and sending to required recipients. Also includes presentation of material using Microsoft packages i.e. Word, Excel, Powerpoint and Outlook. Adhere to the Trust’s requirements for strict confidentiality when handling all data
Maintain and co-ordinate changes including the quality assurance of data.to all ‘Alert Organism’ databases
Record relevant “Alert Organisms” and any other surveillance information on the Hi-Surv system used for regional surveillance data. Validate information on a monthly basis and inform Office Manager for Chief Executive that sign off can be carried out.
Liaison with the Public Health Authority (PHA) surveillance staff regarding regional surveillance data.
Recording of patient information for various Alert organisms, on the Electronic Patient Care record (Encompass)
Organisation of a variety of meetings via Microsoft Teams, booking rooms, multimedia equipment, agenda preparation and production of minutes/notes.
Liaising with Ward staff, Personal Secretary to Consultant Microbiologists and other relevant persons, regarding Post Infection Review (PIR) meetings. Co coordinating allocation to Infection Prevention Control Nurse for same and Issuing of reminders for PIRs to clinical teams and others
Contribute to the development and maintenance of administrative procedures.
Maintenance of attendance records for IP&C “face to face” / Microsoft Teams Mandatory Training and other related IP&C training, which must be recorded on the “SAP” system and/or Learn HSCNI
Requesting and obtaining of patients’ charts/ medical notes for regional/national surveillance or incident investigation.
Typing of letters, memos, reports, guidelines/policies and power-point presentations as required.
Management and ordering of stock and non-stock supplies
Deal with telephone calls and cover the department telephones in the absence of other IPCT members on all sites ensuring that all telephone messages are passed on to the appropriate person in a timely and effective manner
14. Deal with own emails and those of the Head of IPC as requested.
16. Develop and maintain existing document management systems e.g SharePoint, Shared drives
17. Photocopy/scan information when requested
18. Maintenance of office equipment, e.g. replacing printer cartridges, reporting faults, etc.
19. Support the induction and training of any new support staff.
20. Provision of cover in the absence of other support staff.
