Job summary

An exciting opportunities have arisen for committed, enthusiastic and highly motivated ward clerk to join our busy Beech Trauma Ward. The holder would need to provide a courteous, efficient and professional ward clerk service, making a valuable contribution to support patient care from the time of admission, transfer or discharge. The successful candidate would be the first contact point for all ward visitors and members of the multi-professional team so good interpersonal skills are essential.

We are looking for a well organized, enthusiastic individual to work within our dynamic team. You will need to be able to work flexibly and apply a methodical approach to a varying workload in what can be a fast paced, pressurized environment. You should be self-motivated, have excellent communication/interpersonal skills and have the ability to work on your own as well as part of a busy team where the work can be deadline driven.

Previous NHS clerical experience is desirable and administrative and keyboard skills would be an advantage. The successful candidate will need an excellent telephone manner and must be able to deal efficiently with members of the public and all disciplines of hospital staff.

Main duties of the job

Maintain and check patient registration details and demographic information

Retrieve patient information

Record the issue and receipt of records on the PAS case note tracking system

To check EZ notes and ensure they are available for planned TCIs

Maintain patient EZnotes folders by:

Filing reports / correspondence / forms etc in an ordered manner, to facilitate the efficient retrieval of such documentation on request.

Repairing case notes folders

Making up new folders, registering patient

Ordering stationary suppliers when required

Inputting date for audits

Job responsibilities

The post holder will provide a comprehensive administrative/receptionist service to the department. This will include making appointments on computerised systems in accordance with agreed policies and procedures, filing of notes and inputting data required for audits, ensuring stock is readily available. You will have a working relationship withConsultants, junior medical staff, Nurse Practitioners, other hospital staff both within the department and outside, other healthcare professionals, medical secretaries, health records staff, PALS. GP surgeries, other hospitals, patients and relatives and carers.

General duties will comprise of the use of manual and computerised systems including PAS, Bluespier, EZ notes, Sunrise to maintain and check patient registration details and demographic information, retrieve patient information, record the issue and receipt of records on the PAS case note tracking system, to check EZ notes and ensure they are available for planned TCIs. the successful candidate will maintain EZ notes by filing reports, correspondence and any loose paperwork in an ordered manner, to facilitate the efficient retrieval of such documentation on request.Repairing case notes folders, making up new folders, registering patients,ordering stationary suppliers when required,Inputting date for audits.This post involves handling medical notes and VDU work. Individuals may be exposed to violence and aggression.
