The overall purpose of this role is to:
- Work as a member of the Vascular Access and Nutrition Support team to provide daily administrative assistance to clinical staff within the department. Act as a first point of contact for the service in a professional and welcoming manner, responding to enquiries where possible and escalating other enquiries as necessary. Contribute to smooth, efficient and effective general running of the office. Maintain specialist databases and EPR records as required
Main duties of the job
- Manage and maintain computer based records with information from Vascular Access and Nutrition Support Nursing Teams.
- Prepare activity and finance reports for Vascular Access Service and aspects of the Nutrition Support Nurses service to enable the Finance Department to cross charge for the services delivered.
- Monitor Private Patient activity and prepare invoices as required.
- Monitor and maintain stock levels of essential specialist equipment and place ad hoc orders as requested by Vascular Access or Nutrition nurses, follow up orders and receipt as required.
- Facilitate payment of invoices received in the department.
- Scheduling of forthcoming patient appointments on EPR as requested on an ad hoc basis.
- Upload clinical results and other clinically relevant information to EPR for endorsement by the Nutrition Support Nurses.
- Undertake other general administrative tasks as required by the clinical teams.
- Demonstrate a good understanding of the principles of data protection and patient confidentiality.
Detailed job description and main responsibilities
The post holder will:
1 . Communicate effectively with the nursing teams to share information
- Deal with telephone enquiries from a variety of sources including patients, consultants, other clerical staff, ward staff, and GPs. When appropriate the post holder will pass callers on to speak to clinical staff.
- Communicate with the wards to notify them of inpatient appointments, and if necessary arrange transport or a nurse escort. Inform ward staff of any preparation the patient may need before their appointment
The post holder will:
- 1 . Possess proficient IT skills and ideally have previous experience in using Electronic Patient Record systems (training can be provided) 2 Support the Lead Vascular Access and Nutrition Support Nurses in maintaining Health Roster
- Contribute to the organisation of the administrative components of study sessions run by the nursing teams
