Job overview

  • To ensure that all departmental activities are conducted in accordance with Departmental Policy, Standard Operating Procedures and ISO 13485 Medical devices -Quality Management Systems
  • To supervise and assist in the production and distribution of medical and surgical equipment for use in direct patient care
  • To deal with issues which could impact on the efficient running of the department in a timely manner
  • To participate in departmental and Trust initiatives or audits, related to quality improvement, achieving quality objectives and compliance with the ISO 13485 Medical devices – Quality Management Systems,
  • To supervise, organise, allocate work and train less experienced/qualified staff.
  • To communicate and supervise enquires from staff, users, and other members of healthcare staff in a polite and helpful manner, seeking advice from the Management where required

Main duties of the job

  • To be responsible for co-ordinating the training programmes for all decontamination personnel employed within Decontamination Services,
  • To design, implement maintain comprehensive training and competencies records for decontamination personnel,
  • To undertake group and individual training sessions,
  • Ensure training programmes fully comply with departmental policies and procedures,
  • To participate in the appraisal of decontamination personnel,
  • Co-ordinate mandatory training for all staff,
  • To deliver local induction to new staff,
  • To ensure housekeeping personnel in adequately trained on cleaning requirements in Decontamination Services,
  • To ensure all visitors including engineers are adequately trained on entry/ exit procedure and use of appropriate PPE within all areas in Decontamination Services,
  • To deliver training in the effective use of the Radar Incident Reporting System,
  • To actively participate in the production process working without supervision and supervise other staff in the overall production process, ensuring quality standards are attained and procedures are adhered to.
  • To ensure that correct raw materials are being used in the production process and that all materials used have been booked out in accordance with the departments store procedure.
  • Investigating discrepancies in sets, contacting relevant users and undertake the initial investigation with non-conformance reports as instructed.
  • To prioritise work based on known or probable needs of Theatres/Departments, and deal with problems as they arise.
  • To attend regular meetings with management to communicate issues/changes within the department, including changes within the quality system and/or department policies and procedures.
  • To assist with surgical instrument/flexible scopes repair orders and purchasing.
  • Attend and contribute to QMS Surveillance visits and re-certification audits by the Approved Body.
  • To motivate staff and identifying opportunities for development and assist management with personal development plans.
  • Conduct return to work interviews from sickness absence.
  • Ensure that staff are properly dressed, clean, tidy and wear their name badges at all times and that everyone complies with the specific PPE requirements for each Working area.
  • To comply with and promote all policies and procedures pertaining to this post and to promote the highest standard of professional practice and safe working procedures.
  • Ensure that all staff work safely, complying with Health & Safety Guidelines.
  • Initial disciplining of staff on matters of time keeping, poor work performance and quality standards as well as reporting to the manager frequent or serious breaches of discipline by any member of staff
  • Ensuring that correct equipment is used for the appropriate purpose
  • Ensuring that packaging methods are not varied and are kept to the specified standard,
  • Reporting to the manager any problems concerning distribution, stock levels or production
  • Ensuring that instrument checking procedures are carried out to a high standard and quality control procedures are maintained to agreed specifications.
  • Certifying daily performance tests on equipment before use at the beginning of the working day.
  • Reporting any defects and repairs needed on equipment and the building as soon as problems are noticed.
  • Ensure materials are used efficiently and economically.
  • To undertake duties consistent with the responsibility of the grade and needs of the services.
  • To raise non – conformance immediately when issues are identified.
  • To maintain compliance to all statutory and mandatory training as defined by the organisation and service needs.
  • To comply with the Department’s training programme and undertake training in line with the development of the post.

Person specification

Experience

Essential

  • Practical Experience of working within Decontamination Unit -minimum 3 years.
  • Experience of tracking & traceability of instruments/flexible scopes

SKILLS/ABILITIES

Essential

  • Ability to supervise teams through inspiring and creating confidence.
  • Ability to work accurately and quickly under pressure with a sense of urgency. Prioritise workload.
  • Ability to communicate with colleagues and service users on both routine and complex matters in an effective and positive manner.
  • Prompt reporting of problems product or people related.
  • Able to work on own initiative and as part of a team.
  • Proficient in the use of Microsoft packages particularly excel, word and outlook

KNOWLEDGE AND UNDERSTANDING

Essential

  • Extensive knowledge of surgical instrumentation and decontamination processes.
  • Ability to design, implement maintain comprehensive training and competencies records in decontamination systems.
  • Can demonstrate the ability to work to strict standards of quality and safety
  • Ability to undertake investigation and report on non-conformances and understand when limit of capability has been reached.

Desirable

  • Understanding of ISO 13485 systems

EDUCATION AND QUALIFICATIONS

Essential

  • GCSE/ English and Maths
  • NVQ level 4 or equivalent level of experience

Desirable

  • IDSc Technical Certificate Decontamination Application, interview Certificates
