Job summary

We are looking for an experienced, motivated receptionist to join our Physiotherapy and Occupational Therapy Outpatients Team on a 12-month fixed-term contract, based at Alexandra General Hospital. Successful applicants will work onsite carrying out reception duties and collaborating with supervisors, managers, the therapy team, multidisciplinary staff, patients, carers, and other agencies.

You will play an important role in leading the reception team and providing effective administrative support ensuring processes meet the needs of service users and the Trust.

We seek someone who is positive, compassionate, approachable, flexible, and able to build strong working relationships for patient care and service improvement. We operate across several electronic systems to ensure accurate record-keeping, and you must be able to concentrate in a busy working environment. We are a friendly, supportive team and aim to support you in working flexibly within the needs of the service to support the number of hours required.

Risk Assessment

  • This post involves working with display screen equipment for the majority of the post holders working hours.
  • The post holder will participate in non-patient manual handling activities including bending, reaching, and stooping.
  • There is a regular need for prolonged concentration and multi-tasking.
  • There is occasional involvement in distressing and emotional circumstances e.g. dealing with complaints and angry and upset patients by telephone or in person.

Job Purpose

  • To act as receptionist and administration assistant for the therapy outpatient service, meeting, greeting, and directing patients appropriately.

Key Duties

  • Deal with telephone enquiries from patients, relatives, medical Practitioners and Consultants.
  • To receive and register a high volume of referrals from multiple sources.
  • To meet, greet and direct all patients and visitors to the department.
  • To make appointments for new and existing patients.
  • To deal with DNAs and cancellations appropriately.
  • To keep all new patient and follow-up treatment slots filled as far as possible.
  • To cancel patients appointments if the therapist is off sick.
  • Participate in the staff development programme and receive annual appraisals.
  • Comply with Trust policies and procedures.
  • To record monthly statistics re: waiting times for treatment, DNA rates, clinic utilisation data

General Duties

  • Transfer of patients to other Hospitals as appropriate
  • Registration of all patient details on the therapy record and information system
  • To maintain an accurate filing system for patient records to facilitate retrieval as necessary.
  • Maintenance of stationary, equipment and patient information stocks.
  • Other clerical duties to facilitate the smooth running of the out-patient department i.e. Monitor the waiting lists, ensure outpatient clinics are full and running at capacity.
  • Other clerical duties as directed by therapy management considered appropriate to grade and role i.e. Data collection and entry.
  • To participate in co-ordination with the therapy management in a regular review of all duties.

Experience

Essential

  • Evidence of previous clerical experience
  • Good typing/word processing
  • Familiar with Windows packages
  • Experience in manual and computerised filing systems

Desirable

  • Previous reception experience
  • Experience of using hospital/clinical patient systems.
  • Previous NHS experience
  • Previous experience of arranging appointments

Qualifications

Essential

  • GCSE in English or equivalent qualification at Grade C or above.
  • RSA II or equivalent qualification or experience.

  • Customer Care training
