JOB DESCRIPTION
JOB TITLE: Temporary Podiatry Administrative Team Leader
BAND: Band 4
DIRECTORATE/DIVISION: Community Care
LOCATION: Braid Valley Complex Ballymena
REPORTS TO: Admin Locality Manager
RESPONSIBLE TO: Service Support Manager
Job Summary
The post holder will carry out the full remit of a Podiatry Band 3 Higher Clerical Officer as well as assist in the daily supervision and coordination of administrative support across the Podiatry service. This will include being responsible for overseeing a range of duties including appointment booking, coordination of work queues, clinics and call handling ensuring an adherence to agreed protocol.
The post holder will work closely with the Deputy Podiatry Manager and Admin Locality Manager providing reports and activity data as required and in line with Trust policies.
This role will also include a level of staff management ensuring there is adequate office cover for the provision of the service.
Main Duties / Responsibilities
Supervise and provide support to podiatry administration staff across the NHSCT Podiatry Service. For example, assisting in managing performance, delegating tasks and training of staff.
Liaise with the Podiatry team regarding allocation of slots and management of clinics when necessary.
To assist in areas of staff management, overseeing both annual leave and flexi requests, unplanned absence, ensuring that the service has adequate staffing levels at all times.
Ensure even distribution of admin workloads including that associated with clinic cancellation/ rebooking and work queues. Supervision and co-ordination of rotational working across all four strands i.e. Core, Hospital, Gait and Footwear.
Ensure that clinic schedules are built, maintained and amended on encompass by the admin team as required and in a timely fashion.
Collate and produce statistical information. Respond to and action information management requests for service monitoring and improvement. This will include the collation, analysis, and dissemination of information as required.
Act as source of information for staff, suppliers and patients using the service and ensure such information is appropriately and effectively communicated.
To assist in facilitating and implementing the systems and processes which support the Podiatry Service.
Report delays or other problems relating to the delivery of the service to the podiatry admin and service manager as they arise.
To assist in investigating complaints and incidents that may arise within the service.
To participate, as required, in the selection and recruitment of staff in accordance with procedures of the Northern HSC Trust.
To manage your time effectively, prioritising your own workload and that of staff reporting to you.
Ensure clinic maximization of core, gait and footwear services are utilised through close monitoring and take appropriate action as and when required.
Assist with the induction and training of staff to team as required.
Assist to identify training and development needs of staff. To liaise with staff who require training ensuring follow ups are managed in a safe and timely manner
Ensure that the relevant Trust risk management and quality assurance policies and systems are adhered to.
Monitoring and maintenance of work queues, ensure partial booking procedure is adhered to and appointments offered in line with IEAP (Integrated Elective Access Protocol).
Maintain records both manual and computerised in an accurate and timely way in accordance with local policy and procedure.
Maintenance and management of E-Procurement to ensure sufficient supplies to meet department needs.
Attendance at meetings and minute taking as required.
Ensure all office duties carried out in accordance with local policies and procedures.
Promote good industrial relations, staff morale and quality of work within department.
To escalate any internal department issues to the appropriate persons.
Such other duties which are relevant to the post/banding criteria.

SALARY: £27, 485 - £30, 162 per annum
HOURS
Normal full-time hours of duty are 37½ hours per week, exclusive of meal times.
HOLIDAYS
27 days each year; 29 days after 5 years’ service; 33 days after 10 years’ service and 10 statutory and public holidays.
PENSION
The post-holder can participate in the Health Social Care Pension Scheme.

PROBATIONARY PERIOD
You will serve a probationary period of normally six months.
WAITING LIST
A Trust-wide waiting list may be compiled for similar permanent, temporary, full time or part time posts which may arise within the next 12 months.
PAY PROTECTION
Legacy Trust Staff who apply for a promotion after 1 April 2011 should be aware that they will lose their legacy protection arrangements and will be entitled to pay protection in accordance with circular HSS (JNF)(1) 2011. This circular will also apply to legacy staff who are currently in receipt of protection and who move post on promotion.
