Job overview

We are looking to recruit an organised and proactive Team Secretary to join the Quality Team within the Secure Care Division, based at Ashworth Hospital. This role has a strong focus on supporting recruitment and retention activity, ensuring the division has the right workforce in place to deliver safe, high‑quality care.

You will provide efficient, confidential and customer‑focused administrative support across recruitment, quality improvement and patient engagement activity. Working closely with stakeholders to support end‑to‑end recruitment processes, maintain accurate records, coordinate interviews and meetings, and help embed values‑based recruitment and the service user voice.

This is a varied role suited to someone who is highly organised, flexible, confident working in a secure environment and motivated by making a real impact on staff experience, workforce stability and service quality within Secure Services.

Main duties of the job

The post holder will administratively support an extensive range of functions within the clinical services, including planning & attending events, minuting meetings, uniform monitoring, general admin work.

The successful applicant will be strong team players with a high level of organisational and interpersonal skills.  They will be well organised and have the ability to work to competing deadlines and priorities.  The post holder will be required to work flexibly, have the ability to establish good working relationships and deal with a wide range of professionals via telephone, written and face to face contact.

The post holder will provide efficient, high‑quality administrative and resourcing support to the Secure Care Division Quality Team, with a strong focus on recruitment and retention activities.

Support end‑to‑end recruitment processes, including vacancy paperwork, advert preparation, applicant checks, interview coordination, record‑keeping and compliance with Trust policies and Agenda for Change.

Maintain accurate administrative and recruitment systems, databases and records to support effective workforce planning, reporting and governance.

Provide administrative support to Quality Improvement activity, including coordinating meetings, preparing agendas, taking minutes and supporting reporting requirements.

Detailed job description and main responsibilities

The successful candidate will have a good knowledge of all Microsoft Office applications including Outlook, Word, Excel and PowerPoint and will have experience of using Service databases and clinical information systems.

The postholder will be required to work flexibly to meet service needs, use their initiative, and manage competing priorities with minimum supervision. You will work closely with clinical, HR and quality colleagues, demonstrating a positive, professional and team‑focused approach at all times.

Strong interpersonal skills are essential, as the role involves regular liaison with managers, staff, service users and carers. You must be able to handle confidential and sensitive information appropriately, communicate with tact and diplomacy, and work effectively as part of a wider team within a secure setting.
