Please note that this Band 3 role is full time but i will consider part time hours/ job share

Main duties of the job
- a) To support the team in the day to day running, tasks include ordering PPE and consumables, recording data regarding the caseload and answering the phone b) Word processing of reports and letters, including amending and tidying documents prepared by others, drafting routine correspondence for approval by the team members and taking formal minutes of meetings as required, using software packages as appropriate, e.g. Word, Excel and PowerPoint. c) Maintain and update IT and Maintenance data bases with any Team issues. d) Keeping office systems up-to-date (e.g. bring forward), devising and maintaining efficient filing, clerical and office systems, and providing general support within the team. e) Helping with meetings organised within the Team and writing up the notes. . f) Receive and sort internal and external mail and deal with each appropriately.

Essential
- Able to use time effectively and prioritise work through good organisational skills
- Able to use recognised IT packages e.g. Microsoft Office including Excel, and able to use of IT systems and keyboard skills including accurate data recording skills
- Able to communicate effectively with patients, carers and health and care specialist services and colleagues
Experience
Essential
- Recent secretarial or administrative experience
- Experience of data inputting, databases, spreadsheets
- Experience of providing administration support within a healthcare/social care setting
- Experience of using SystmOne
- Experience of using ERS
- Meeting administration and minute taking - good keyboard skills in order to write clear, concise and grammatically accurate meeting minutes and patient notes
- Handling personally or commercially sensitive patient medical information, and corporate governance
- Clinic administration, booking/cancelling patients, and referrals
- Working as part of a team, providing admin support to clinical and managerial colleagues
- Ability to discuss sensitive medical issues with tact and discretion, and explain administrative procedures in a clear, concise way
Desirable
- Experience of ordering supplies and maintaining stock
- Advanced skills in using Microsoft Office software to create attractive and well laid-out documents and presentations
