An exciting opportunity has arisen for a Support Secretary in the Respiratory Department at Bournemouth Hospital.

This Support Secretary role plays a vital role as it is to provide an efficient secretarial service to the Specialist Nursing Teams in Respiratory (DAIRS, Lung  Care & TB Service) and to support colleagues during absence. The role deals with answering enquiries of the shared email box and telephone work in communicating with patients who have specific lung problems some of which have cancer or suspected cancer.

Applicants will have a broad spectrum of administration skills and demonstrable typing skills. In addition to this, applicants should have excellent communication skills, attention to detail and a willingness to work as part of a team.

Base Location: UHD - Royal Bournemouth Hospital (Poole if required)

Detailed job description and main responsibilities

The main responsibility of this role is to provide an efficient secretarial service to the Specialist Nursing Teams in Respiratory (DAIRS, Lung & TB) and to support colleagues during absence.

  • To relieve Specialist Nurses of administrative tasks not pertaining to clinical work wherever possible.
  • Typing clinic/additional letters to GP’s, patients and other Allied Health Professionals, using digital dictation when appropriate.
  • Assisting the PA to Specialist Nursing Teams and PA/Consultant secretaries with admin duties.
  • To manage electronic Diaries for the Specialist Nurses.
  • To fully support the secretaries and PA in their roles and to help cover during sickness and annual leave.
  • Look up, sort and file patients’ results.
  • To manage the shared emails for TB, Lung Care and DAIRS and action where appropriate.
  • Use the hospital computer system to access patient details. CRT must be always used when receiving and moving notes. This is mandatory within the Trust.
  • Photocopying, scanning and general electronic filing.

Be responsible for out-going post, meeting afternoon deadline

  • To answer the Lung care nurses, DAIRS and TB telephones and take messages when required.
  • To deal with queries involving confidential documents regarding a wide variety of information without recourse to others. Escalating queries to the clinical nurses where required.
  • To ensure clinics are fully utilised wherever possible.

To offer general help to other staff as required with spreadsheets excel etc
