Looking for a new challenge?  The Department of Reproductive Medicine are looking for a motivated individual to join its busy team!

The post holder will be expected to provide a high quality support assistant role to the Gynaecology Service. The post holder will be expected to support the Doctors, Consultants and admin team in the day to day running of the office.

Main duties of the job

The post holder will support the provision of the highest quality patient care through dedicated administrative and clerical support  and continuous improvement. The post holder will support Lead Patient

Pathway Coordinators ensuring the provision of a comprehensive service to the Consultants and their teams, working within this area. They will support the Lead PPC, who are the point of contact for patients accessing elective hospital services throughout their pathway of care ensuring Trust quality standards and targets are achieved.

Based in a specialty clinical team, the post holder will be the point of contact for all administrative and clerical issues relating to patients’ pathway of care, tracking and supporting them from referral to treatment &/or discharge.

The post holder will provide a patient focused service that supports clinical staff in the provision of efficient integrated pathways that enable the best use of resources and ensure that patients are fit, willing and able to be treated and that they are treated in the right  place, by the right person, at the right time. The post holder will ensure high levels of patient care and will ensure clinician satisfaction by being an accessible, customer focused and knowledgeable point of contact.

Disclosure and Barring Service (DBS) check

What is a DBS Check?

A DBS check is a background check that reveals any criminal convictions, cautions, reprimands, or warnings. The level of check required depends on the role:

Standard DBS: Checks for spent and unspent convictions, cautions, reprimands, and final warnings.

Enhanced DBS: Includes the above, plus any additional information held by local police that’s considered relevant to the role.

Enhanced with Barred Lists: Includes all of the above, plus checks against the children’s and/or adults’ barred lists.

Who Needs a DBS Check

Most roles involving direct patient contact, working with children or vulnerable adults, or access to sensitive information will require a DBS check. The job advert and recruitment team will let you know if this applies to your role.

The Costs for a DBS

At Manchester University NHS Foundation Trust (MFT), roles that require a DBS check are subject to a cost recovery policy. This means that the cost of submitting and processing a DBS application if you are successful and join us, will be deducted from your salary within the first three months of employment.   If, however, you withdraw from a conditional offer after the DBS process has begun, you will still be liable for the cost incurred.

Essential

  • Excellent verbal and written communication skills
  • Good organisation skills
  • Good interpersonal skills
  • High level of accuracy when entering, checking and maintaining patient information, consent records and correspondence logs
  • Understanding of confidentiality, data protection and information governance requirements
  • Able to recognise when information is missing, inconsistent, expired or requires escalation to a senior colleague
  • Able to produce accurate letters, emails and records using standard templates and agreed wording
  • Willingness to work in line with Trust procedures, departmental SOPs and HFEA-related processes

Qaulifications

Essential

  • 5 GCSE’s at Grades A-C or equivalent
  • NVQ Level 3 in Business Administration or equivalent administrative experience

Desirable

  • Qualification related to databases or excel

Experience and knowledge

Essential

  • Experience using Microsoft Office applications (Word, Excel, Outlook)
  • Experience using IT systems for data entry and information retrieval
  • Previous experience working in an administrative role, preferably within a health or care setting
  • Ability to maintain confidentiality and handle sensitive patient or service related information appropriately
  • Ability to plan, prioritise, and manage own workload to meet deadlines and service requirements

Desirable

  • Experience using bring forward systems, trackers or reminder processes
  • Understanding of legislation relating to the storage of gametes and embryos
  • Knowledge of the HFEA
  • Experience working with consent-based or legally sensitive documents
  • Experience in fertility services or another highly specialised healthcare service
  • Awareness of risks associated with consent, data quality or loss to follow-up
