This is an exciting opportunity to join the Clinical Haematology Team as Specialist PA  based at QMC Campus Nottingham.

Working as part of a team the post holder will support the provision of a high quality secretarial and administrative service to Consultants and clinical teams to ensure the typing of clinics is completed accurately and within the set timeframe together with any other administrative duties. The post holder must exercise initiative to organise their own workload within defined deadlines. The post holder will have line management responsibility within the secretarial team. The role/duties of the post are outlined above. In undertaking this role, the employee will be expected to behave at all times that is consistent with and actively supports the Trust values which are listed below

Detailed job description and main responsibilities

Accurately transcribe urgent clinical letters using Winscribe, producing high quality work within defined deadlines.

Typing of non-clinical letters as required.

Use judgement and initiative to prioritise the importance/urgency of tasks within defined guidelines

Establish and maintain admin systems/databases for the specialist nursing team.

Dealing with incoming mail, results/reports management

Attending/organising meetings, take minutes.

Ensure RTT patient data quality is accurate.

Key point of contact for Specialist nurses.

Communication link to directorate management team, regarding any service issues Manage, maintain the clinic templates, and be proactive in the implementation of new ways of working.

Dealing with nurse queries managing nursing calendars when needed

Liaise with Out Patient and day-case Co-ordinator to ensure patients are treated within breach dates.

Share responsibility with line manager for own personal development.

Undertake HR related tasks, appraisals and recruitment.

Use judgement and initiative to prioritise the importance/urgency of tasks within defined guidelines

Establish and maintain admin systems and databases

Dealing with incoming mail, results/reports management

Liaising with the CNS Team with a view to patient packs and co-ordinating Bone Marrow Transplant administration

Co-ordinate PIP Forms & Insurance claims for patients

Complete GP summaries

Ensure adequate stock of appropriate leaflets/booklets are readily available

Electronic Health Need Assessments – Set up assessments to be completed on each new patient and upload the care plans onto the system

Attending/organising meetings, take minutes.

Key point of contact for the CNS Team

Cancel/open ad hoc clinics as needed, moving patient appointments

Telephone calls inbound/outbound relating to patients specific care, in a confidential manner.

Provide cross cover for Haematology Outreach Team PA

To support and mentor new staff.

Share responsibility with line manager for own personal development.

Undertake any other duties which may be reasonably required.

Person specification

Education

Essential

  • x5 GCSE A*-C including Maths and English
  • Minute taking Qulaification
  • Evidence of administrative or secretarial training

Desirable

  • NVQ 3/ECDL Qualification

Experience

Essential

  • Previous experience working in an administrative or PA role.
  • Proficient Minute taking experience
  • Experience using Microsoft Office applications.

Desirable

  • NHS experience.

Physical Skills

Essential

  • Able to sit at a keyboard and computer screen for long periods of time

Essential

  • Excellent organisational and time management skills.
  • Ability to prioritise and coordinate a demanding workload while meeting deadlines.

  • Experience coordinating diaries, meetings and clinic schedules.
