JOB SUMMARY

The post holder will ensure robust and highly effective administrative procedures and practices are in place to support the delivery of high quality care by all Integrated Care Teams (ICT’s) within the Primary Care Division of the Directorate of Adult Community Services (ACS). The postholder will ensure all disciplines in all seven ICT’s (district nursing, social work/care, AHP’s, Admin Personnel) are supported to make maximum use of the Community Information System (Encompass) and other information systems and Standard Operating Procedures. The postholder will support all ICT Managers with the management of their administrative staff, with a particular focus on ensuring their development and training needs are addressed to meet new ways of working.

KEY DUTIES / RESPONSIBILITIES

1. Ensure the effective and efficient provision of administrative services and processes to support all seven ICT’s to deliver high quality care. This will entail being pro-active in building upon all the work done to date to review, standardise and update administrative procedures and processes across all ICT professions and localities.

2. Act as a source of advice (professional administrative perspective) on the effective use of Encompass Reports and other information systems and ensure the Head of the ICT’s and ICT Managers receive timely and accurate reports to meet all performance management requirements.

3. Liaise closely with and advise ICT Managers and their aligned Band 4 administrator to ensure all administrative resources are effectively allocated and deployed to meet service needs.

4. Liaise closely with ICT Managers and their aligned Band 4 administrator to ensure all records and information are managed and stored appropriately and meet all Data Protection and Trust requirements.

5. Advise ICT Managers on all issues pertaining to the recruitment and management of their administrative staff. This will include advising on appraisals/personal development plans and liaising with aligned band 4 staff to ensure training needs are identified and met. This will also include ensuring Trust requirements in respect of PDP’s and Corporate Mandatory Training are met, and also training staff on the use of Encompass.

6. Provide the necessary project management support to enable the implementation of various service reforms within the ICT’s and in keeping with the Directorate’s strategic direction for older people services, e.g. the roll out and implementation of the DOH District Nursing Framework, enhanced interfaces with the Trust’s Access and Information Service.

7. Assist the Head of Service with the implementation of all business continuity arrangements across all seven ICT’s and co-ordinate all information/reporting requirements.
