
Job summary
- The post holder will support the Administration Line Managers/Service Coordinators by Co-ordinating a professional, efficient and effective administrative service to patients and visitors in accordance with Trust policies and standards
- The role will coordinate and organise the attendance of patients to outpatient, inpatient & day case appointments in line with local team and Trust arrangements as instructed
- Ensure all administrative processes; and enquiries are dealt with in an efficient and timely manner, following agreed standard operating procedures, escalating to senior manager as appropriate
- Undertake general clerical duties to maximise all available capacity in an appropriate way
- Proof reading clinical letters (please note there is no audio typing in this role)
- Monitoring waiting times, ensuring that our patients treatment pathways, from referral to treatment are accurate and up to date (for more information on what this means please visit - NHS England Referral to treatment)
- Ensure all information is secure and confidentiality of information is maintained at all times
- Provide excellent customer care which may include communication with distress

We are looking to recruit an enthusiastic and motivated Part-Time Service Administrator to join our Pain Management Team based at Heavitree Hospital. The successful candidate must be highly motivated with excellent communication skills, enjoy working within a busy and vibrant team. They must be able to prioritise their workload and able to work well under pressure. Secretarial experience, knowledge of working in a hospital environment and medical terminology are all desirable for this role, but not essential.
You will have excellent communication and interpersonal skills, and proven experience in dealing with service users on the telephone. You will be flexible and adaptable with excellent IT skills.
You will need to enjoy the challenge of working as part of a busy team yet have the ability to use your own initiative to meet the changing needs of the department.
