Are you an experienced Medical secretary looking for a challenging role where your skills truly make a difference? This is an exciting opportunity to join a supportive medical secretarial team with Diabetes and Endocrinology at Worcestershire Acute Hospitals NHS Trust, supporting our Diabetes and Endocrinology consultants and wider clinical teams.

Main duties of the job

You will be an integral part of a busy secretarial team, working closely to support Diabetes and Endocrinology Consultants and clinical teams.

In this role, you will manage a wide range of administrative responsibilities, including handling emails, telephone calls, diary management, and general office duties. You will also take on more complex tasks such as managing patient care pathways, clinic scheduling and managing patient waiting lists.

You will interact daily with clinicians, patients, carers, health professionals (both internal and external), and colleagues, which will be a key part of your role. You will need to show initiative and ensure communication is applicable and relevant.

As a member of the Diabetes and Endocrinology team, you will provide dedicated support for three consultants and their clinical teams.

This position demands excellent organisational skills, along with both the ability to work independently as well as working closely within the team. You must be able to prioritise a busy workload whilst maintaining a high level of accuracy, and be able to adapt flexibly to meet service demands. A commitment to delivering outstanding patient-focused service is essential.

This is a part-time role, working 30 hours a week. A working pattern will be agreed with the post holder upon appointment.

Job responsibilities

To undertake medical audio / copy typing duties, including outpatientletters to GPs, discharge summaries and other official correspondence.

To accept enquiries from clinicians, GPs Health Service and Social Services personnel, other hospitals, voluntary agencies, patients and their relatives. Patient contact by telephone is an integral part of the role.

To work using own initiative with minimal supervision, prioritising own workload in line with objectives of the department and consultant teams.

To deal with all incoming correspondence, phone and email in an efficient and effective way.

To liaise with other members of the secretarial / administration team in order to provide a co-ordinated and efficient secretarial service.

To support the Directorate Management Team with the administration, tracking and validation of patients pathways to achieve the National 18-week Referral to Treatment (RTT) target.

To liaise with patients, relatives and staff demonstrating sensitivity and maintaining professionalism at all times.

To deal with any complaints, problems or issues in a sensitive way, escalating to clinicians / management as appropriate.

Ensure confidentiality is maintained at all times, complying with the Data Protection Act, Information Governance and other Trust / Departmental Policies.

To assist in providing cover for other secretaries in the Medical Directorate to ensure continuity of service to Consultant, medical staff, service users and patients.

To undertake any other duties as may be required / appropriate by the Directorate Management Team.

Person specification

Experience

Essential

  • Proven secretarial experience in healthcare environment.
  • Experience of working in a busy office

Desirable

  • NHS experience.
  • Use of OASIS PAS system, Bluespier, EZ notes and Digital Dictation

Qualifications

Essential

  • GCSE English & Maths
  • Recognised word processing / typing qualification
  • AMSPAR

Skills/Knowledge

Essential

  • Audio typing using Digital Dictation
  • In-depth working knowledge of Microsoft Office

Desirable

  • Knowledge of NHS systems

Personal Qualities

  • Excellent verbal and written communication skills.
