Job overview

To be responsible for the provision of a full medical secretarial and administrative support service to the Clinicians within the Dermatology Department.

Main duties of the job

  • To use initiative working autonomously within the remit of the role
  • To maintain a high standard of service to meet patient needs - keeping accurate, up to date records
  • To support the organisation in the delivery of a seamless pathway of care
  • To provide cross cover for fellow secretaries when required

Detailed job description and main responsibilities

  • Liaise with consultants in your area of responsibility to provide a full medical secretarial service.
  • Liaise with staff at all levels both internally and externally answering written and verbal enquiries when necessary, taking action on all matters that can be dealt with without further reference.
  • Exchange verbal and written information with patients/relatives/staff.
  • Ensure accurate input of patient details when entering data onto information databases, including routine tracking of patient case notes.
  • Responsible for taking and transcribing of minutes of meetings.
  • Appropriately disseminate a variety of correspondence / documentation some of which is highly confidential.
  • To exercise initiative in ensuring urgent tests are booked and on receipt of results, taking action where appropriate, being aware of the implications of own actions.
  • Action RTT (18 week) pathways as appropriate.
  • Ensure that all clinical correspondence is transcribed within the required timescales alerting direct line manager if there any foreseeable delays.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

Skills

Essential

  • Excellent communication skills (written, verbal, telephone)
  • Ability to appreciate the needs of patients, carers and healthcare staff
  • Ability to react to unpredictable issues and reprioritising workload
  • Good keyboard skills
  • Audio transcription skills
  • Excellent interpersonal skills to liaise with clinicians, senior managers and clerical staff

Desirable

  • Competent in the use of Microsoft Office
  • Competent in the use of LE2, Patient Administration Systems or similar

Knowledge

Essential

  • Sound knowledge of medical terminology

Desirable

  • Understanding of medical terminology with more than one specialty
  • Knowledge of Caldicott guidelines and data protection

Experience

Essential

  • Able to demonstrate experience of working with a variety of professionals
  • significant direct experience of working for Medical Consultants and other senior professionals

Desirable

  • Evidence of training and development of other people

Qualifications

Essential

  • English language GCSE grade C or above or equivalent experience
  • NVQ3 / RSA Level 3 or equivalent typing and computer skills
  • Mathematics GCSE grade C or above or equivalent

Desirable

  • Medical secretarial AMSPAR qualification or equivalent
