An exciting opportunity has arisen for a highly organised and proactive individual to join The Christie’s International Education team as a Senior Education Administrator, supporting our Observerships Programme.

You will provide senior administrative and operational support to deliver a high-quality programme for national and international visitors. As the main point of contact, you will coordinate end-to-end placements from initial enquiry through to programme delivery ensuring an excellent experience aligned with organisational priorities and governance requirements.

You will work closely with clinical colleagues to design tailored visitor placements linked to defined learning outcomes, while maintaining strong relationships with stakeholders across the Trust and beyond. The role also offers the opportunity to contribute to wider international education activity, including event coordination, marketing and promotion, and data analysis to support continuous improvement and service development.

We are looking for someone with excellent organisational and communication skills who can manage a varied workload and work both independently and collaboratively in a fast-paced environment. Experience of administration within an education or healthcare setting, alongside strong IT and data management skills, will be key to success in this role.

This role is hybrid but does require some onsite working in line with observer and visitor schedules.

Main duties of the job

The post holder will lead the coordination of placements, managing the process from initial enquiry through to programme completion. Responsibility includes overseeing all aspects of visitor administration, including governance and compliance requirements are met, and that placements run smoothly, professionally, and in line with organisational standards.

The position requires building and maintaining strong working relationships with a wide range of stakeholders, including national and international visitors, clinicians, operational teams, and external partners. Proactive engagement across departments and clinical sites is essential to support the successful delivery of the programme. A high level of organisation and proactivity is essential, along with strong administrative and coordination skills. Experience in managing complex processes, prioritising workloads, and working independently while maintaining close attention to detail is key.

The post holder will be confident in engaging with a diverse range of stakeholders, with excellent communication and relationship-building skills. A collaborative approach and the ability to work effectively across teams are critical to success in the role.

The ideal candidate will demonstrate initiative, problem-solving ability, and a commitment to delivering a high-quality service. Experience in programme coordination, stakeholder management, or working within an education or healthcare setting would be advantageous.

  • Provide a quality, client focused service and instil a customer centred approach  •    Be the lead administrator working closely with potential visitors to support the delivery of a planned visit programme •    Ensure consistent, up‑to‑date tracking of visitors across specialties and departments, including accurate and current contact information •    Work closely with senior clinicians on the development and delivery of observerships linked to key learning outcomes  •    Liaise with appropriate education colleagues to ensure that observerships are managed within the context of student placements, fellowships and other visitors to clinical areas •    Provide administrative support at key education related meetings and committees including creating agendas, and recording minutes •    Maintain and review accurate records for activity delivered by the team ensuring it is clear, coherent and consistent •    Network with key partners to support and promote engagement with the observerships programme •    Produce detailed data analysis, to inform current and future plans, to ensure activity continues to be delivered to a high standard and identify potential areas for development •    Coordinate specific activity to include speaker/sponsor/delegate liaison, preparation of materials, and venue/facilities management •    Be present at events to coordinate activities and be the main point of contact •    Deliver schedules to include liaising with visitors and Trust representatives, adhering to governance arrangements •    Develop and provide information packages and welcome meetings to support visitors when joining The Christie •    Provide pastoral support, share relevant opportunities and coordinate events for visitors •    Create feedback forms and evaluations for departing visitors, providing support, evaluating data to identify areas for improvement, or escalating negative feedback to senior colleagues •    Work flexibly to attend meetings and events outside of core office hours
  • Raise purchase order requisitions, invoice external organisations, process personal payments, ensuring that processes comply with the Trust’s Standing Financial Instructions      •    Apply agreed methodologies to support costings for potential visitors •    Liaise with potential visitors and employers in relation to visit costs •    Comply with Trust Standing Financial Instructions
  • Monitor visitor numbers and measure that the targets are being met, report to the team and suggest necessary action •    Ensure General Data Protection Regulation (GDPR) is adhered to through all activity  •    Support senior colleagues with the production of marketing and promotional materials, including updating the website, and utilising social media content •    Proactively contribute to the marketing and effective promotion of International Education activities and events •    Work creatively within the set guidelines to ensure effective design and marketing concepts are utilised in the promotion of the events and services •    Oversee and carry out the marketing, design and production of posters, flyers, agendas, mailshots and delegate materials in conjunction with the team of administrators •    Promote the Christie NHS Foundation Trust as a leader in the field of oncology education, utilising organisational expertise to run a successful programme of multi-professional events
