
Job summary
Are you an experienced administrator with a passion for making a difference to children and young people's mental health? We are looking for a motivated and organised Senior Administrator to provide leadership and day-to-day support to our administration team within the Wellbeing and Emotional Support Teams in Schools (WEST).
This is a new role responsible for coordinating administrative processes, supporting and supervising staff, and ensuring workloads are effectively managed. You will work closely with others to improve processes and provide expert administrative support across the service.
We are seeking someone with excellent communication and organisational skills, experience of working within a busy setting, and has the ability to motivate and support others while maintaining high standards of accuracy and professionalism. This is a permanent position working 37.5 hours per week, Monday to Friday. Must be willing to travel across Herefordshire and Worcestershire.
Please note the Trust is unable to provide sponsorship to work for this role, to apply you must have current right to work in the UK status. Employment on a time limited visa doesnt guarantee sponsorship at point of expiry.
Main duties of the job
As the Senior Administrator for WEST, you will be the first point of contact for the administration team, providing guidance, support and day-to-day coordination to ensure the service runs smoothly.
You will oversee administrative processes across the team, monitor and allocate work, support colleagues with problem-solving, and help maintain high standards of accuracy and performance. You'll work closely with managers and clinicians to ensure referrals, appointments, meetings and service information are managed efficiently.
A key part of the role is building positive working relationships with colleagues across the organisations and improving our internal processes, helping to ensure children, young people and families receive a responsive and effective service.

Job responsibilities
The successful candidate will:
Provide day-to-day supervision, leadership and support and to the WEST administration team.
Coordinate and monitor administrative workloads to ensure tasks are completed efficiently and to a high standard.
Support managers and clinicians with the smooth running of administrative processes across the service.
Organise meetings, prepare agendas, distribute papers and produce accurate minutes.
Maintain electronic records, databases and information systems in line with Trust policies and data protection requirements.
Support service improvement initiatives and contribute to audits and administrative projects.
Assist with staff induction, training, appraisal and recruitment activities within the administration team.

Knowledge
Essential
- Knowledge of a wide range of administrative and secretarial procedures and systems.
- Extensive knowledge of different IT software.
- Understanding of the Data Protection Act and NHS Code of Confidentiality.
Experience
Essential
- Significant recent Administrative/Secretarial experience.
- Supervision/management of staff.
- Arranging meetings, agendas and minute taking experience.
Desirable
- Previous relevant NHS experience
Qualifications
Essential
- Educated to vocational level 3 in Business Administration OR equivalent qualification and/or experience
- I understand that I will be asked to provide original certificates to verify my qualifications at point of offer.
