An exciting opportunity as arisen for a development post (band 2 to 3), initially for 9 months fixed term. In conjunction with the Directorate Support Manager, actively assist in the administrative support to the Senior Management team to provide administration and secretarial support to the Physiotherapy & Occupational Therapy Directorate as required.
The post holder will be required to demonstrate a significant level of initiative in organizing their workload. They will provide high‑quality secretarial and administrative support across PT/OT services.
Key duties include ESR/Health Roster support, database management and reporting, stock control and ordering, processing mail / email / telephone queries, supporting Senior Management on a daily basis, sickness monitoring, and letter generation.
Key responsibilities
* Deliver accurate word‑processing, correspondence and diary management.
* Manage staff administration and maintain records.
* Complete monthly salary and sickness returns
* Assist with ESR / Health Roster input.
* Maintain departmental databases.
* Order and control stationery and equipment.
* Support staff with general queries.
Main duties of the job
To provide administration and secretarial support for the Physiotherapy & Occupational Therapy Services Department and prioritising workload as appropriate.
As directed by the Directorate Administration Manager revise and implement Administrative and Clerical working procedures as required.
To provide word processing services, including the production of accurate and high quality typewritten material to prepare letters using specified templates where appropriate.
To receive and process incoming mail, bringing this and other relevant matters to the attention of the appropriate member of the Physiotherapy and Occupational Therapy Directorate and taking independent action as necessary. To review incoming general correspondence and establish the extent or sensitivity of various matters and report back to the Senior Management team.
To support in the recruitment and selection procedure and to maintain and update department staff files as required.
To complete monthly salary and sickness returns, including on-call and overtime forms by designated deadline.
To respond quickly and promptly to enquiries received from staff, patients, visitors and outside bodies.

Essential
- GCSE in Maths and English
- Recent office experience within a Health related environment.
- Ability to demonstrate accuracy and attention to detail
- Microsoft Office Experience
