We are looking for a highly organised Secretary/Team Leader, with previous experience in a similar setting, who has leadership skills, and is keen to lead the team to ensure smooth running of the service.
This is a new and valued role that will be responsible for the provision of a full secretarial and administrative support service to the Consultants and senior team in the Urgent Care department, ensuring a high standard of Medical/ PA/secretarial duties is maintained and deadlines are met.
To provide day-to-day supervisory duties to the Urgent Care administration team, including completing appraisals, ensuring all mandatory training is completed and recorded for doctors and administration team, and return to work interviews are undertaken and recorded on roster. You will also delegate a range of tasks fairly to the team.
To ensure cover is provided for sickness / annual leave, and in times of demand for all other secretarial staff in the Urgent Care Department.
To use initiative working autonomously within the remit of the role. To maintain a high standard of service to meet patient needs, and keep accurate up to date records.
To support the organisation in the delivery of a seamless pathway of care.

Detailed job description and main responsibilities
Urgent Care (ED and Acute Medicine)
Communication and Relationship Skills:
- Liaise with all consultants and senior team in the Urgent Care Department, providing a full secretarial service including all administrative duties including which includes placing it in order of priority and taking action on matters which can be dealt with without further reference.
- Liaise with staff at all levels both internally and externally answering written and verbal enquires when necessary. 3 Exchange verbal and written information with patients/relatives/staff relating to appointments/admissions/meetings, including timely clinical correspondence.
- Ensure accurate input of patient details when entering data onto information databases and Patient Administration Systems including the routine tracking of patient case notes.
- Responsible for taking and transcribing of minutes for Departmental meetings and preparing agendas.

Skills
Essential
- Excellent communication skills (written, verbal and telephone). Excellent interpersonal skills in order to liaise with clinicians, senior managers and clerical staff.
- Ability to react to unpredictable issues and re prioritising workload.
Desirable
- Competent in the use of an NHS Patient Administration System
Knowledge
Essential
- Understanding of NHS Knowledge of secretarial and administrative procedures and systems.
Experience
Essential
- Secretarial experience Able to demonstrate experience of working with a variety of professionals
Desirable
- Experience as a medical secretary in a healthcare setting Direct experience of working for Medical Consultants and/or other senior professionals
Qualifications
Essential
- English language & Mathematics GCSE grade C or above or equivalent qualification.
- Computer skills
Desirable
- Medical Secretarial AMSPAR Diploma or equivalent.
- RSA Typing or typing qualification
