We now have vacancies for Band 2 Scanning Bureau Clerks based at Salford Royal Hospital.
The post holder is responsible for duties related to the storage, retrieval, destruction, preparation, and scanning of Health Records.
This includes handling records within the Health Records Services and other areas of the Trust as required. They will prepare records for scanning and in some cases, for clinical use. This involves verifying that records have the agreed structure, that all relevant documentation is included and that content is correctly filed and organised.
All records must be maintained and managed in accordance with the Trust's Records Management Policy to ensure that they are complete, secure and fit for purpose.
Main duties of the job
- Develop and maintain effective relationships with users of the Health Records Service through excellent communication and customer service skills.
- Liaise with clinical and administrative staff to ensure the timely availability of patient records for appointments, admissions and other clinical needs.
- Respond promptly to record requests from authorised personnel.
- Handle all patient information in accordance with the Data Protection Act, Caldicott Principles and Trust Policies.
- Prioritise workload to ensure all agreed activities and timescales are met and raise issues with the department supervisor as required.
- Retrieve and prepare patient records in accordance with Trust procedures, ensuring accuracy, confidentiality, and accessibility at all times.
- Index and categorise scanned images accurately to ensure records are easily retrievable.
- Undertake quality assurance checks to confirm the accuracy and completeness of scanned records.

Experience
Essential
- Experience of working in an office or customer service environment
- Experience of using computers and standard software packages e.g Microsoft Word, Excel, Outlook
- Organised and methodical with an attention to detail, to maintain accuracy to a high standard
Desirable
- Experience using a hospital based Patient Administration System
- Experience of recognising and resolving routine issues referring to supervisor/manager where appropriate
Qualifications
Essential
- GCSE or equivalent in Maths
- GCSE or equivalent in English
- Qualification or equivalent experience in an admin role or customer service
Desirable
- Basic IT qualification e.g ECDL or equivalent
Skills and Knowledge
Essential
- Understanding of confidentiality, Data Protection and Caldicott Principles
- Ability to communicate effectively verbal and written
- Ability to to work to a dead line and prioritise own workload with or without supervision
- Ability to work as part of a team or unsupervised
- Ability to work under pressure in a busy environment
- Adaptability and flexibility, able to move across sites when required
