Job summary

Our Child and Family Community Team based at Bramblys Drive in Basingstoke are looking for a friendly and efficient Receptionist to join them on a permanent, full-time basis.

As a Receptionist, you will ensure efficient operation of the switchboard and reception area and provide excellent customer service to members of the general public.

Main duties of the job

Meet and greet direct visitors and staff in a polite and professional manner, using your own initiative to deal with routine matters and/or referring to the admin team co-ordinator if appropriate.

To monitor the reception generic mailbox, uploading to Rio and forwarding to the relevant person as necessary.

To receive all incoming mail and other deliveries and distribute as necessary.

To deal with all outgoing mail.

To work independently on the accurate inputting of client demographics into Rio.

To undertake photocopying of master forms and ensure that sufficient supplies are available.

To scan and upload documents.

Deal with routine enquiries calls in a pleasant and helpful manner, communicate relevant information clearly and accurately and refer to others as appropriate.

Answer telephone calls, take messages and pass on accurately in a timely manner to the relevant departments/person and record them on Rio.

Make room bookings and ensure the electronic diary is kept up to date.

Manage the entry and exit of persons to and from the building via secure doors.

Store documents when required in accordance with the Trust Health Records Policy.

Ensure that general office supply levels are maintained.

Demonstrate office systems to new starters.

To perform any other ad-hoc duties as and when required which are consistence with the nature of the post, in consultation with the Admin Team Co-ordinator and Team Manager.
