Job summary
The Receptionist will be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, the effective use of the appointment system, booking appointments, the processing of information (electronic and hard copy) in a timely manner and in accordance with current policies, assisting patients as required and supporting the administration team with patient registration,
The post-holder will act as the central point of contact for patients, be responsible for the distribution of information, messages and enquiries for the clinical team, liaise with multi-disciplinary team members and external agencies such as secondary care and community service providers.

Main duties of the job

We operate a shift pattern consisting of shifts 7.45am-1pm, 1pm-6.15pm and 7.45am-6.15pm cover will be required until 6.30pm also . The position is for 25hrs 45mins various shifts Monday to Friday please ensure that you would be available to work any of these shifts before applying. The clinical team is well supported by a team of experienced receptionists trained in care navigation, and administrative support staff.

Job responsibilities
The following are the core responsibilities of a Receptionist in delivering health services. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
a. Accurately detail information on patients records within the clinical system
b. Maintain and monitor the practice appointment system
c. Process personal, telephone and e-requests for appointments
d. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
e. Signpost patients to the correct service
f. Initiate contact with and respond to, requests from patients, team members and external agencies
g. Photocopy documentation as required
h. Data entry of new and temporary registrations and relevant patient information as required
i. Input data into patients healthcare records as necessary
j. Direct requests for information, i.e., DSAR, insurance/solicitors letters and DVLA forms to the administrative team
k. Manage all queries as necessary in an efficient manner
l. Support all clinical staff with general administrative tasks as requested
m. Undertake a broad spectrum of administrative duties commensurate with the role
n. Be an integral part of the general practice team
o. Act as a chaperone as required
p. Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding children
q. Support in the delivery of enhanced services and other service requirements
r. Undertake all mandatory training and induction programmes
s. Contribute to and embrace the spectrum of clinical governance
t. Maintain a clean, tidy, effective working area at all times
u. Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed
