Job summary

We are seeking a friendly, professional and organised Receptionist to join our team at Petersfield Hospital. As the first point of contact for patients, visitors and staff, you will play a vital role in creating a welcoming, efficient and supportive environment within our patient-facing clinical setting.

You will greet and direct visitors, answer telephone queries promptly and courteously, and provide reassurance to patients where needed. The role also includes a range of administrative duties such as managing emails, booking meeting and clinic rooms, handling incoming and outgoing mail, monitoring stock levels and maintaining accurate records.

You will support the smooth running of the site by coordinating contractor sign-in processes, issuing keys and access cards, reporting building faults and updating the switchboard database. Strong IT skills, particularly in Microsoft Office, are essential, alongside the ability to work independently and manage your workload effectively.

Main duties of the job

The Receptionist is responsible for providing a professional and welcoming front-of-house service, acting as the first point of contact for patients, visitors and contractors. Duties include answering telephone calls promptly and handling queries efficiently and courteously, greeting and directing all visitors, and managing general enquiries. The role involves a wide range of administrative tasks, including managing email communications, booking meeting, consultation and clinic rooms, handling incoming and outgoing mail and parcels, and maintaining accurate records.

The post holder will oversee security-related processes such as issuing and logging keys, managing swipe card access and ensuring contractors sign in and comply with site policies. They will also monitor stock levels and order office supplies, report building faults and escalate issues where necessary, and maintain a tidy, well-organised reception area.

Strong IT skills are required to update systems such as the switchboard database and support effective communication across the site. The role requires the ability to work independently, prioritise workload, maintain strict patient confidentiality, and work flexibly to support colleagues. The receptionist will also support the Site Manager with projects and ensure all mandatory training is up to date.
