Receptionist 22.5 hours per week, Band 2

An opportunity has arisen to join the Trust’s busy Outpatient Reception team working  across our Torbay hospital site.  The role is contracted for 3 days a week, variable week days only  with hours between 07:30 - 17:30 (7.5 hour shifts with 1 hour for lunch).

We are looking for a friendly, customer service focused individual who shares our core Trust values.

The ideal post holder will have previous reception/admin experience and be able to provide a high standard of customer service, as they will be representing the Trust as first point of contact with our patients.

They will be organised and able to work in a busy environment with excellent communication skills as the role will involve contact with patients, clinical and administrative staff.

Main duties of the job

  • Checking patients in for Outpatient appointments
  • Booking, cancelling and re-arranging Outpatient appointments
  • Setting up of clinics for day
  • Associated administration tasks
  • Taking inbound calls
  • Maintaining a high standard of customer service
  • Use of hospital systems to effectively support the management of the patient journey
  • Managing spreadsheets as required
  • Liaising with colleagues at all levels to ensure the patient journey is smooth
  • To work in accordance with the Trust policies at all times

Person specification

Knowledge and Skills

Essential

  • Experience in a face to face customer service role
  • Experience in an administration/clerical role
  • Experience in a healthcare/hospital setting
  • Experience working with emails, spreadsheets and Microsoft packages

Desirable

  • Previous NHS experience

Qualifications and Training

Essential

  • 4 GCSE A - C to include Maths and English or equivalent

Desirable

  • Knowledge of relevant hospital IT systems (EPIC)
