The Neurology Admin & Clerical team are looking for flexible and motivated people to join our team.

We are looking for people that are passionate about providing an exemplary service, to work as part of a dynamic team helping to a deliver a safe and effective Neurology service at the Norfolk and Norwich University Hospital.

The successful candidate will be able to work in a systemic and methodical way, using on their own initiative, be conscientious, and have excellent interpersonal communication and customer care skills. Applicants will have a keen eye for detail, with the ability to remain calm under pressure and prioritise workload.

This is a varied role including booking appointments by phone with patients, sending letters, undertaking admin tasks and receiving patients on arrival.

Main duties of the job

As post holder, you will work with all members of the clinical team within the multidisciplinary framework. The Receptionist is an essential part of a team, helping to streamline the work of the clinics by supporting and helping all members of the team to provide a quality service.

The Receptionist is the first point of contact for patients, staff and visitors to the department.  The role will include arriving patients to their appointments, calling patients to book appointments and covering a variety of admin tasks within the department.

Detailed job description and main responsibilities

  • To provide a support service to the technical, secretarial, medical and nursing staff of the Department.
  • To carry out receptionist duties, including prioritising and arranging appointments and maintaining the various appointment systems, identifying test requests and investigations, and co-ordinating the various clinics within the department.
  • To deal with patients and external and internal staff enquiries in person or via the telephone, in a courteous and confidential manner and provide assistance as required.
  • To ensure patients safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
  • To keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
  • To ensure appointment lists are maintained and prepared in readiness for clinical work.
  • To obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
  • To maintain a record of the transfer of notes to and from the department.
  • To understand the 18 Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
  • To liaise with Secretaries and other departments within the Trust as necessary to ensure case notes, X-rays and referrals are available for every patient attending an outpatient clinic.  Liaise with external stakeholders to obtain referrals if necessary.
  • To ensure notes are prepared correctly for clinic with a front sheet and set of labels in each set. Ensure each set of case notes and X-Rays are tracked into the department.
  • To cancel and re-book appointments as necessary, assessing each individual requirement to establish priority and need for the overbooking of clinics.
